Job DescriptionAbout the Organization The Children's Law Center (CLC) is a non-profit legal services organization that represents children in custody, visitation, guardianship, paternity, family offense, and related child protective (abuse or neglect) proceedings in the Family Courts and the Integrated Domestic Violence Parts of the Supreme Court of the State of New York, and in appeals therefrom. CLC represents approximately 5,000 children annually in the Bronx, Brooklyn, Queens and Staten Island, providing holistic and zealous representation and support in the Court, the community and the legislature. CLC's mission is to empower our clients, prevent trauma and promote wellbeing. Job description Under the direction of the Operations Manager, the Client Services and Data Assistant will work in a team environment to perform administrative tasks associated with the functioning of the borough office, including but not limited to greeting clients and other visitors, answering a busy phone system, calendar management, performing data entry, filing, faxing and copying documents. Results Expected of the Position Ensure smooth and efficient operations of the Client Services Desk and provide a positive experience for visitors, clients and staff. Partner with team members to ensure accurate, timely data collection and records management for the borough office and CLC. Essential Duties/Responsibilities • Proactively greets all clients and the public directly and while answering calls on a multi-line telephone system., • Logs all client, litigant and collateral interviews., • Performs assigned data entry., • Prepares and mails client correspondence by requested deadlines., • Creates case files as needed., • Copies, faxes, collates, and batches documents as needed., • Provides administrative clerical support for designated managers., • Searches internal and external databases to complete assigned tasks., • Files and archives documents in accordance with CLC practices., • Monitors and checks attorney calendars upon request., • Sorts and distributes mail and other documents., • Conducts playroom oversight and communicates issues to the Operations Manager., • Works with CLC teams to review department practices, suggest solutions and implement improvements in order to meet client, court and organization needs., • Actively participates on various committees, providing training and insight as needed., • Attends and actively participates in supervision, team, and office-wide meetings., • Schedules client appointments in Outlook as requested., • Performs other duties as requested. Key Qualifications and Competencies, • High School Diploma or equivalent education, • Minimum of two years of experience working in a busy office environment handling multiple office tasks including answering multi-line telephone system, data entry, providing customer service, appointment scheduling, mail sorting, and distribution is required, • Superb people and effective communication skills including excellent written, verbal, time management, and organizational skills; knowledge of legal terminology, • Curiosity and eagerness to continue learning new skills and growing professionally and taking an optimistic approach to new challenges, • Ability to foster and maintain a spirit of unity, teamwork and cooperation, • Demonstrated efficient, persistent and meticulous attention to detail, along with outstanding initiative, analytical, critical thinking and problem-resolution skills, • Proven ability to work independently with excellent judgment, diplomacy, professionalism and ability to prioritize requests, track and manage multiple requests simultaneously, and meet deadlines, • Demonstrated skills as a regular user of software, technology, and online resources -including knowledge of databases, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook including calendaring, tasks, etc.), Internet searches, etc., • Demonstrated ability to exercise complete discretion when working with confidential and sensitive information, • Interest in working with internal and external constituencies, including interns, students, and volunteers, • Proficiency in languages other than English preferred but not required Salary Requirements The expected salary range for this position ranges from $46,920 – $59,670 annually. Salary offers, pursuant to the CLC Collective Bargaining Agreement, are based on the total number of years of experience in a position performing administrative, clerical, and reception work in an office setting. JOB SUMMARY: The Mayor’s Office to End Domestic and Gender-Based Violence (ENDGBV) operates the City’s five Family Justice Centers (FJCs), which provide comprehensive, multi-disciplinary and trauma-informed services for victims of intimate partner violence, sex trafficking and sexual assault. The Arab-American Family Support Center provides case management services, crisis intervention, advocacy, information, and referrals to victims of domestic violence at each Family Justice Center. As a member of AAFSC’s Anti-Violence Program Team, the Case Manager and Advocate will provide crisis intervention and direct services to program clients at the Family Justice Center. He or she will be responsible for conducting safety assessments, crisis intervention, supportive counseling and safety planning with survivors, as well as referrals and advocacy on behalf of survivors. PRIMARY DUTIES AND RESPONSIBILITIES: • Conduct intake with clients to assess risk and determine service needs., • Provide ongoing safety planning and survivor-centered case management., • Engage in crisis intervention, including but not limited to service coordination with law enforcement, District Attorney offices, hospitals and other service providers., • Provide criminal justice and family court information, advocacy/support (e.g. drafting Order of Protection petitions), and court accompaniment to victims/survivors., • Provide information and filing-support regarding public assistance and other government entitlements, housing/shelter applications and transfers, Office of Victim Services compensation, lock replacement, short-term financial assistance, food pantries, and clothing donation centers., • Assist clients in preparing OVS compensation claims applications and submit a minimum of 3 applications a month., • Identify and provide referrals to outside therapeutic, legal, and other services as necessary., • Maintain thorough case files, document client sessions and services provided, and maintain updated demographic reports for regular funder reports in a timely manner., • Attend ongoing technical trainings, workshops, committees and lectures to ensure best- practice development and knowledge of current resources for clients., • Perform data entry into a computerized record keeping system and maintain thorough and accurate case records and statistics., • Assist in developing informational materials and presenting about domestic violence, gender-based violence and sexual assault dynamics, structural factors, and resources., • Attend weekly individual and monthly group supervision meetings., • Participate in AAFSC meetings and attend meetings on behalf of AAFSC., • BA/BS/BSW required in human service or a related field, • Fluency in Spanish or Arabic preferred. Summary Job Description: Performs professional-level casework duties in providing services for children, biological, and foster parents or planning resources under the care of the agency; performs related work as required in providing permanency planning to expedite the safe discharge of children from the foster care system. Performs both field and office work in handling a caseload for the agency. Depending on the area of assignment, the employee may be required to use his or her own vehicle in carrying out field assignments. Principle Responsibilities: • Investigates cases referred to the agency to determine need and proper method of care; interviews the individual, the family, community and governmental agency personnel, and any other resource person who might provide information necessary for a proper psycho-social diagnostic evaluation and the preparation of a treatment plan; works with other divisions of the agency to evaluate the progress of cases and to carry out the treatment plan., • Works with public welfare agencies; the courts, and others to assist individuals with financial, legal, medical, and personal problems., • Attends periodic staff conferences; confers with supervisors weekly and as needed; prepares dictation, reports, and correspondence on assigned cases and maintains records of the status of each case through established channels., • Expected to respond to case emergencies after hours or on weekends., • All progress notes and FASP will be recorded online in Connections by the caseworker., • Every action or event must be recorded by the caseworker no later than 72 hours after the action or event and must be forwarded to the immediate supervisor for review. Actions/events include, but are not limited to: 72 Hour Conference; 30 Day Conference; Birth Parent/Child Contact; Birth Parent/Caseworker Contact; Child Care Worker/Caseworker Contact (RTC); Collateral i.e.: DLS Attorney, Law Guardian, Therapist; ACS Caseworker/Child Contact; Sibling Visit; Caseworker/Discharge Resource Contact-Non Birth Parent; Foster Home Visit; Caseworker/Foster Parent Contact; School Contact; Theme of the Month; Service Plan Review; Court Appearance; Case Conference (Internal or with ACS), • The supervisor must review the progress notes, to determine clarity, no later than 5 days after it was received from the worker. If acceptable, the supervisor will approve the progress note and it becomes final. If the progress note is not clear, the supervisor must meet with the caseworker. The caseworker must make the necessary corrections and return the corrected progress note to the supervisor for further review. The corrections must be submitted to the Supervisor, no later than 3 days after the supervisor requested the corrections. The supervisor must review the corrected progress note no later than 3 days after it is received., • When a caseworker is going on vacation, progress notes for all events must be submitted to supervisor by 5:00 PM, 2 weekdays before vacation begins., • The Director will monitor the timeliness of progress notes and the review process., • Caseworkers, Supervisors, Directors, and Secretaries will attend all mandated trainings regarding case recording., • Supervisors will schedule weekly conferences with caseworkers to specifically discuss each case and to review caseworkers’ interventions Qualifications: • Good knowledge of the principles and practices of social casework., • Good knowledge of the laws, rules, and regulations governing the care and treatment of children., • Experience related to services to families and children, preferably medical or child welfare related, • Excellent written and verbal communication skills in order to effectively provide direction and counseling to clients and maintain all required documentation., • Ability to establish effective working relationships with clients, relatives, and other individuals and to obtain and verify information needed through interviews and investigation., • Ability to prepare clear, accurate, and comprehensive case records and to reach logical conclusions based on pertinent regulations and information.
