Helping U Homecare - We are seeking a professional, organized, and welcoming Receptionist / Front Desk Coordinator with Home Care experience to serve as the first point of contact for our office. This position is responsible for managing the front desk, assisting visitors and employees, answering calls, and providing administrative support to ensure the office operates efficiently. The ideal candidate is friendly, dependable, detail-oriented, and comfortable working in a fast-paced home care environment. Bilingual English/Spanish communication skills are required, as this position regularly communicates with Spanish-speaking caregivers, applicants, employees, clients, and visitors. This position will also be responsible for opening and closing the office, ensuring the front office is properly prepared at the beginning of the day and secured at the end of the business day. Greet and assist all visitors, employees, caregivers, clients, and applicants in a professional and welcoming manner Manage the front desk and reception area, ensuring it remains organized and professional Open the office at the beginning of the scheduled shift, ensuring the reception area and office are ready for daily operations Close the office at the end of the scheduled shift, ensuring the front desk and designated areas are secured and ready for the following business day Follow all established office opening and closing procedures Answer, screen, and direct incoming phone calls to the appropriate department or staff member Provide assistance in both English and Spanish to caregivers, applicants, employees, clients, and visitors Respond to general inquiries and provide accurate information regarding the agency and its services Assist caregivers, applicants, and employees with general questions and direct them to the appropriate department when necessary Receive, sort, distribute, and prepare outgoing mail, packages, and office correspondence Maintain visitor logs and assist with office security and front desk procedures Assist with scheduling appointments, interviews, orientations, meetings, and other office activities Support the HR department with administrative tasks, including collecting and organizing new hire documents Assist with new hire and caregiver check-in during orientations and onboarding appointments Maintain organized front desk records and ensure documents are routed to the appropriate department Assist with ID badge processing, employee photos, and other front-office employee documentation as needed Enter and update information in company systems, including HHAeXchange, as assigned Assist with copying, scanning, filing, faxing, and other general administrative duties Maintain confidentiality when handling employee, applicant, client, and company information Communicate professionally with staff, applicants, caregivers, clients, and visitors Provide general administrative support to HR and other departments as needed Work closely with the Director and management team to support daily office operations Maintain a clean, organized, and professional reception and waiting area Prior Receptionist, Front Desk, Administrative Assistant, or Home Care experience preferred Bilingual in English and Spanish required Excellent verbal and written communication skills in English and Spanish Professional, friendly, and customer-service-oriented personality Strong organizational skills and attention to detail Ability to multitask and prioritize responsibilities in a fast-paced environment Ability to handle confidential and sensitive information professionally Proficiency in Microsoft Office Suite or similar software Experience with HHAeXchange preferred Reliable attendance and punctuality Ability to work independently while also functioning effectively as part of a team Ability and willingness to open and close the office according to the assigned schedule Strong sense of responsibility and professionalism, particularly when working independently Job Type: Full-Time Schedule: MondayFriday Opening and closing responsibilities are required as part of this position Opportunities for increases based on performance and experience Opportunities for cross-training and advancement within the organization Health Insurance Dental Insurance Paid Time Off Sick Time Paid Holidays 401(k) TASC (Transit Benefits) Professional development and cross-training opportunities Opportunities for growth and advancement within the organization
