Job Description Full job description The Donor Database and Engagement Coordinator will play a key role in the organization’s development needs. This person will be both an independent worker and someone who works well as part of a team. They will have strong computer skills, effective communication skills, be organized and detail oriented. RESPONSIBILITIES INCLUDE: 1. Oversee all functions of Raiser’s Edge database management including data and gift entry, clean up and reporting., 2. Develop, compile and maintain accurate computer records and reports, to include: the tracking, entry, and processing of contributions, volunteers, donors and related lists and addresses. Input and track all information accurately in various computer databases and excel reports and provide reports and contact information, as needed., 3. Manage a portfolio of donors and prospects, ensuring personalized engagement and stewardship., 4. Conduct donor meetings, virtual and in-person, to strengthen connections and present the impact of their contributions., 5. Develop strategies for donor solicitation, retention, and satisfaction., 6. Facilitate timely acknowledgments and follow-ups to maintain donor trust and enthusiasm., 7. Participate in donor cultivation and stewardship events to foster community and connection., 8. Create and generate various financial and dashboard reports for the organization., 9. Reconcile donations and events with the bookkeeper., 10. Respond to requests from staff for updates to the database and fundraising reports., 11. Follow a strict code of confidentiality., 12. Coordinate preparation and arrangements for mailings (including bulk mailings and mass mailings)., 13. Assist with planning special events, as needed., 14. Assist with the development and maintenance of fundraising event sites., 15. Maintain accurate and complete filing system., 16. Participate as a team member in assigned project activities and perform other tasks, as assigned., 17. Complete and submit all required records and reports on time., 18. Participate in all emergency drills., 19. Attend all staff and program meetings, assigned trainings, and other work-related functions, as required., 20. Abide by all of the Boys & Girls Club policies and procedures., 21. Confer with the Executive Director with respect to any problems, concerns, etc., 22. Submit all overtime hours or changes in schedule for approval to the Executive Director at least two weeks in advance., 23. The Club retains the right to change or assign duties to this position. SKILLS/KNOWLEDGE REQUIRED: 1. High School Diploma or equivalency and a minimum of two years’ experience in a related field., 2. Extensive computer skills and strong knowledge of office equipment and procedures. Proficiency with all Microsoft Office applications, Outlook Email Exchange, and other database management and software applications., 3. Proficient in Raiser’s Edge Platform., 4. Must communicate effectively, verbally and in writing, with excellent phone skills, proper grammar, punctuation and spelling skills., 7. Possess a strong work ethic, be punctual and have minimal absences., 8. Well organized and attention to detail; self-starter., 9. Must be able to multi-task, organize, prioritize and meet deadlines., 10. Work independently and simultaneously on many different kinds of tasks., 11. Take initiative in determining needs and recommending methods to stay current, run more efficiently, etc., 12. Ability to compose general business correspondence, maintain office records and prepare accurate reports. Experience recording, archiving and distributing meeting minutes. PHYSICAL DEMANDS: 1. While performing the duties of this job, the employee is frequently required to walk, stand, bend, and talk or hear. The employee is occasionally required to sit; climb or balance; stoop, kneel, crouch, or crawl., 2. The employee is frequently required to use hands to finger, handle, feel or operate objects, tools, or controls; and reach with hands and arms., 3. The employee must frequently lift and/or move up to 20-25 pounds and occasionally lift and/or move 35-50 pounds., 4. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth vision and ability to focus., 5. The employee must be able to work in an environment with a moderately loud noise level., 6. The employee must have the ability to see and respond to dangerous situations. SPECIAL REQUIREMENTS: 1. Submit to a fingerprint/background check and other paperwork, as required by Boys & Girls Clubs of America and the NYS Office of Children and Family Services., 2. Submit Staff Medical Statement Form (OCFS-6004) signed by a physician documenting clearance to work in school-age child care setting, including a TB Test, as required by the Office of Children and Family Services., 3. This position requires that the employee must have and maintain a valid driver’s license with current insurance., 4. Requires some evening and weekend work to prepare for and attend Club programs, as well as fundraising events.
