Job Description Eastern Industrial Services of NY Inc. is seeking an experienced HVAC Estimator to help build, price, and secure commercial HVAC projects. This position is responsible for taking opportunities from initial bid review through proposal, negotiation, and project award. Once a project is awarded, bought out, and properly handed off, the job will transition to a dedicated Project Manager for execution. The ideal candidate has strong commercial HVAC knowledge, can read mechanical drawings and specifications, understands labor and material pricing, and is comfortable working with clients, vendors, subcontractors, and internal team members during the bidding and preconstruction process. Key Responsibilities • Review bid invitations, drawings, specifications, addenda, and project documents., • Determine HVAC scope of work, including inclusions, exclusions, alternates, and potential risks., • Prepare accurate HVAC cost estimates for commercial and industrial projects., • Build complete project pricing including labor, equipment, materials, subcontractors, rentals, permits, freight, and other job-related costs., • Solicit, collect, review, and compare vendor and subcontractor quotes., • Identify gaps, overlaps, or scope issues in subcontractor and vendor proposals., • Prepare detailed proposals, bid forms, scope letters, qualifications, exclusions, and clarifications., • Work with clients, general contractors, construction managers, engineers, vendors, and subcontractors during the bidding process., • Follow up on submitted bids and proposals., • Negotiate project scope, pricing, and terms with clients, vendors, and subcontractors., • Assist in value engineering options when needed., • Help develop and maintain strong client and vendor relationships., • Organize and maintain bid documents, estimates, proposals, quotes, correspondence, and related project files., • Assist with project buyout after award to ensure pricing, scope, and vendor/subcontractor commitments are properly captured., • Prepare a clean and complete handoff package for the Project Manager once the job is awarded and bought out. Handoff Responsibilities Before turning a project over to the Project Manager, this position will be responsible for helping provide: • Final proposal and accepted scope of work., • Estimate summary and project budget., • Vendor and subcontractor quotes used for pricing., • Major inclusions, exclusions, qualifications, and assumptions., • Equipment selections and major material pricing., • Buyout information and negotiated pricing., • Key client, vendor, and subcontractor contacts., • Notes on risks, deadlines, alternates, value engineering, and important project details. Qualifications • Strong knowledge of commercial HVAC systems, equipment, piping, ductwork, controls, and construction methods., • Experience estimating, pricing, or selling commercial HVAC projects., • Ability to read and understand mechanical drawings, specifications, bid documents, and addenda., • Ability to build, price, and negotiate HVAC projects., • Experience preparing bids, proposals, scope letters, and cost estimates., • Experience soliciting and reviewing subcontractor and vendor quotes., • Strong negotiation and communication skills., • Strong organizational skills and attention to detail., • Proficiency with Microsoft Excel, Outlook, and general computer systems., • Experience with construction estimating software is preferred., • Ability to manage multiple bids, deadlines, and opportunities at the same time. Ideal Candidate The ideal candidate is someone who understands HVAC construction, knows how to put together a complete and accurate estimate, and can confidently communicate with clients, vendors, and subcontractors. This person should be organized, detail-oriented, and comfortable taking ownership of the bidding process from initial review through signed contract and project handoff. Job Type Full-time Work Location Bohemia, NY, with travel to project sites or walkthroughs as needed.
