Job Description Our associates celebrate lives. We celebrate our associates. This management position provides administrative support to the region’s Monument & Inscription program and assist market leadership in the expansion of the program. This includes supervising designated Monument Processor Specialist, insuring completion / delivery of open orders, coordination activities with cemeteries, vendors, customer and SCI associate stakeholders, periodic progress and revenue reporting, maintaining Citrix monument and inscription tracking system, and providing ongoing associate training for the program. JOB RESPONSIBILITIES Monument Program Administration • Coordinate completion of monument and inscription orders with cemeteries, customers and vendors, • Scan open and complete hardcopy work orders into paperless Citrix program, • Assist with resolving order problems and customer complaints, • Work with market leadership, implement best practices and champion change management processes Supervision • Train Monument Processor Specialists to ensure associates understand and comply with Standard Operating Procedures and Polices, • Communicate daily status of work orders, • Address escalated issues Specialists are unable to resolve, • Manage schedules and priorities of team, • Interview, hire, mentor and provide ongoing feedback to staff Reporting • Provide Market Leaders monthly monument and inscription sales reports, • Prepare and distribute monthly sales reports to Location Managers, • Prepare and distribute weekly reports to Monument Sales Specialists, • Prepare open order activity and productivity reports for Market Manager and SCI associate stakeholders Citrix Application Maintenance • Work with Corporate IT and outside IT Vendor to maintain Citrix Application system, • Serve as a liaison between Corporate and Outside IT departments, • Assist IT teams in development and testing of Citrix upgrades ( i.e. Info Port upgrade), • Update cemetery pricing and forms, InfoPort application Training • Supply ongoing Citrix training, including new upgrades, • Provide cemetery application process training and support to Monument Teams, • Assist Market Manager in developing and updating training materials Accounting • Verify monthly commissions and submit to market leadership for approval, • Prepare and distribute monthly commission reports, • Verify and approve vendor invoices, • Submit vendor invoices for payment for all work in progress orders MINIMUM Requirements Education • High School diploma or equivalent, • Bachelor’s degree in Business Administration or related discipline strongly preferred Certification/License • Valid state driver’s license in good standing Experience • Eight (8) years of office management experience in a customer service related industry, • Five (5) years of experience working with multiple computer applications (Citrix application a plus), • Five (5) years supervisory experience Knowledge, Skills and Abilities • Strong computer skills and working knowledge of computer applications, MS programs and Citrix applications a plus, • Detailed oriented in dealing in an industry that is very paper intensive, • Effective and efficient oral and written communication skills, • Ability to adapt to changing priorities and the ability to work under stringent time lines, • Ability to work independently and as a team member, • Ability to work with a variety of stakeholders, internal and external, • Ability to work after business hours as needed to meet customer demands, • Ability to work with a sense of urgency to resolve problems quickly, • Proven time management and organizational skills Work CONDITIONS When considering the work hours associated with this job, the following factors may apply: Work Environment • Work mostly indoors during all seasons and weather conditions, • Limited amount of local traveling required, • Professional Dress is requiredWork Postures, • Sitting continuously for many hours per day, up to 6 hours per day, • Climbing stairs to access buildings occasionallyPhysical Demands, • Physical effort requiring manual dexterity is required, includes paperwork, calculators, computers and phone usageWork Hours, • Working beyond “standard” hours to address critical completion dates and customer demands as the need arises Pay: -$85K - $100K Benefits: MedicalVisionShort-Term DisabilityLife InsuranceDependent Life InsuranceEmployee Assistance Program Postal Code: 11375 Category (Portal Searching): Operations Job Location: US-NY - Forest HillsCompany DescriptionLife’s not about a job, it’s about purpose.
