Job Description We are seeking a highly organized, proactive, and resourceful Executive Assistant to support an owner that works with a few companies in the construction and service industries. The ideal candidate will have strong construction office experience, excellent communication skills, and the ability to manage a fast-paced, dynamic workload. This role requires someone who can anticipate needs, coordinate across multiple businesses, and ensure the executive’s day-to-day operations run smoothly. Responsibilities: • Handle administrative needs of Executive, • Arrange conference calls and meetings, • Plan work-related travel details, • Receive visitors, • Maintain and order supplies, • Manage and prioritize a executive calendar, meetings, and travel arrangements, • Assist with administrative tasks across multiple companies, • Prepare correspondence, reports, proposals, and project documentation, • Oversee document control, permit paperwork, contracts, and construction-related administrative tasks, • Track deadlines, follow-ups, and action items across various projects and businesses, • Coordinate with project managers, vendors, and subcontractors as needed, • Maintain confidentiality and handle sensitive information with discretion, • 3+ years of construction office or project administration experience (required), • Previous experience as an executive secretary, administrative assistant, or in other related fields, • Strong organizational skills, • Ability to prioritize and multitask, • Prior experience supporting executives or senior leadership, • Strong knowledge of construction documentation (submittals, permits, contracts, COIs, RFI logs, etc.), • Excellent organizational skills and ability to manage multiple priorities, • Strong written and verbal communication skills in English and Spanish., • Proficiency in Microsoft Office, Google Workspace, and construction software (Procore, Buildertrend, etc. preferred), • Ability to work independently and problem-solve proactively, • High level of professionalism, reliability, and attention to detail
