Job Description: The Administrative Assistant role requires someone who displays exemplary customer service skills, including the ability to handle complex and sensitive calls in a timely, professional, and courteous manner. The successful candidate will perform a variety of administrative duties such as mailing, faxing, printing, and uploading documents. General Duties: Under the direct supervision of the National Director, Intake the Administrative Assistant will be responsible for the following: • Answer all incoming telephone calls within 30 seconds in an efficient manner and transfer to the appropriate party., • Cover reception desk when assigned and as needed: answering phones, greeting, and assisting visitors and patients., • Assist with meeting preparations – reserving conference rooms and escorting guests., • Receive and process incoming mail, signed delivery tickets and other documents as assigned., • Upload documents quickly and accurately to the appropriate computer system., • Light cleaning – Conference Rooms, kitchens, common areas as needed., • Replenish employee kitchens., • Coordinate courier pickups., • Polite and professional communications., • Handle company info with appropriate sensitivity and safeguards to ensure confidentiality and compliance with applicable local, state, and federal laws., • Other duties as assigned. Required Education, Certification, Experience and Skill Requirements: • High School diploma or equivalent. A college degree is preferred., • Minimum of 3 years’ experience in customer service, preferably at a high-volume call center., • Minimum of 3 years’ experience in an administrative capacity., • Detail-oriented with strong interpersonal skills., • Must be able to work in a fast-paced environment., • Ability to prioritize, perform multiple tasks at one time, and have good organizational skills., • Ability to provide excellent/professional customer service, both face to face and on the telephone., • Excellent Communication skills including reading, writing, and speaking to effectively handle position responsibilities., • Proficiency in Microsoft Office Suite., • Knowledge of CPR+ preferred.
