Job DescriptionSalary: $90,000-$110,000 DOE About Us We are a multi-divisional family office with diverse interests across various industries. Our IT needs have grown significantly, and we are transitioning from outsourcing to building an in-house IT capability. This is a unique opportunity to take full ownership of our technology environment, ensuring security, stability, and scalability across multiple entities. Position Overview The IT Lead will be responsible for all aspects of IT strategy, operations, and security across the family office and its portfolio companies. This is a hands on leadership role, working alongside our Founder you will design the roadmap, implement solutions, and personally manage daily IT operations without reliance on outside providers (at least initially). You will work closely with executives and division leaders to ensure our technology supports business goals, mitigates risks, and provides a secure, efficient environment for all stakeholders. Key Responsibilities Strategy & Leadership • Develop and maintain an IT roadmap aligned with business objectives across all divisions., • Establish IT governance, policies, and best practices., • Design, implement, and maintain networks (LAN/WAN, VPNs, Wi-Fi, firewalls)., • Manage servers, virtualization, and cloud environments., • Implement and enforce robust security protocols., • Manage access controls to prevent unauthorized entry., • Conduct regular vulnerability assessments and incident response planning., • Oversee ERP, CRM, accounting, and industry-specific systems., • Manage Microsoft 365, Azure, and other cloud services., • Implement structured data backup and recovery processes., • Maintain database integrity and performance., • Provide direct technical support to executives and staff., • Troubleshoot hardware/software/network issues., • Negotiate with vendors for hardware, software, and services., • Lead IT projects from conception to delivery., • Coordinate cross-division technology initiatives. Required Qualifications (Must Have Requirements) • 7-10+ years senior-level IT experience, covering both strategy and hands on execution., • Strong cybersecurity expertise with proven track record in protocol design and incident response., • Proficiency in network infrastructure (LAN/WAN, VPN, firewalls, Wi-Fi, routing/switching)., • Windows Server & Active Directory administration., • Microsoft 365, Azure or AWS administration experience., • Backup & disaster recovery planning expertise., • Experience supporting multiple companies/divisions under one umbrella., • ERP/CRM/application management skills., • Vendor negotiation and licensing management experience., • High integrity, excellent communication skills, and proactive problem-solving mindset. Preferred Qualifications (Good-to-Haves) • Virtualization experience (VMware, Hyper-V)., • Database administration (SQL Server, MySQL)., • Automation/scripting skills (PowerShell, Python, Bash)., • Mobile Device Management (MDM) experience., • Cross-platform expertise (Windows, macOS, Linux)., • Cloud migration experience., • Prior family office, private equity, or multi-company environment experience., • IT budget management experience., • Project management methodology knowledge (Agile, Waterfall)., • IT policy creation and documentation experience. What you will do as an Administrator • Greet clients and vendors in a professional, friendly manner; offer refreshments (coffee, water, seltzer)., • Minimize client wait times and promptly notify partners of incoming calls or appointments., • Maintain a clean, tidy, and welcoming front office environment., • Answer incoming calls and direct government agency calls to appropriate team members., • Plan, coordinate, and order lunches/dinners during tax season; confirm partners' preferences and needs., • Monitor office supplies and copier functions; perform weekly inventory checks and reorder as necessary., • Ensure conference rooms and offices are clean and prepared daily., • Maintain kitchen cleanliness: run dishwasher, clean sink, manage garbage, and discard expired food., • Water office plants on a weekly basis., • Manage mailings and postage using Stamps.com., • Prepare and track outgoing FedEx and UPS shipments., • Maintain and organize server files and directories., • Scan and file new client documents; send documents securely via Sharefile., • Prepare, label, and maintain client folders, including setting up new folders each tax year., • Process and distribute client tax returns and authorization forms; follow up on required signatures., • Update client statuses in Axcess, • Monitor and respond to firm email inboxes as needed., • Track and reconcile petty cash receipts., • Provide general administrative support to team members and assist with various tasks as needed., • Excellent organizational and time management skills., • Strong verbal and written communication skills., • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), • Quick Books Online and accounting software., • Attention to detail and accuracy in data entry and record-keeping., • Strong problem-solving skills and ability to handle multiple tasks simultaneously., • Ability to maintain confidentiality of sensitive information., • High school diploma or equivalent required; associate or bachelor's degree in business administration, accounting, or related field preferred., • Previous experience in an administrative role, preferably within an accounting or financial services firm., • Familiarity with bookkeeping and accounting principles is a plus.
