Job DescriptionObjectives of this role • Support the company in optimizing our financial transactions and systems by performing reconciliation of payments and customer accounts, • Communicate discrepancies to management team, identify slow-paying customers, and recommend collection candidates, • Strengthen and grow relationships with clients by communicating with customers regarding past-due accounts, • Assist in streamlining the accounts receivable process by identifying areas for performance improvement, • Gather and verify invoices for appropriate documentation prior to payment, • Maintain accounts receivable records to ensure aging is up to date, credits and collections are applied, uncollectible amounts are accounted for, and miscellaneous differences are cleared, • Perform daily cash management duties, including the recording of bank deposits, updating and distribution of cash receipt logs, and posting of cash to the accounts receivable sub-ledger, • Monitor and collect accounts receivable by contacting clients via telephone, email, and mail, • Strong mathematical skills, • Understanding of basic principles of finance, accounting, and bookkeeping, • Superb time management and detail orientation, • Proficiency with QuickBooks

Customer Service * Serve as a primary point of contact for customer inquiries, orders, and account questions. * Process incoming orders via phone, email, or online systems. * Handle product questions, resolve issues, and provide timely, accurate information. * Maintain positive and professional relationships with customers, suppliers, and partners. * Track customer feedback and report trends to the management team. Operations & Logistics Support * Coordinate delivery schedules with drivers and warehouse staff. * Assist with inventory management, product availability checks, and stock reconciliation. * Prepare order sheets, pick lists, and dispatch information. * Help streamline operational workflows and identify opportunities for efficiency improvements. * Provide general administrative support to the operations team. Qualifications * 2+ years of experience in bookkeeping, accounting, or financial administration. * Experience in customer service or operations—food distribution or related industry a plus. * Proficiency with QuickBooks (or similar), Excel/Google Sheets, and general office software. * Strong communication skills (written and verbal). * Excellent organizational skills and attention to detail. * Ability to multitask and adapt in a fast-paced environment. * Knowledge of food distribution, logistics, or inventory systems preferred but not required.
