Full-Time | In-Person | Healthcare Administration New Jersey Brain and Spine, a leading neurosurgery practice in northern New Jersey, is seeking a dedicated and experienced Practice Manager to lead our Montclair location. About Us: At New Jersey Brain and Spine, we specialize in the operative and non-operative management of a variety of neurological conditions. Our center offers specialty services in spinal surgery and medicine, neurovascular disease, movement disorders, pain and palliative neurosurgery, neuro-oncology and skull-base surgery, gamma knife radiosurgery, Chiari malformation and hydrocephalus, and pediatric neurosurgery. About the Role: The Practice Manager will serve as the on-site operational leader for our Montclair office, supporting a team that includes three full-time surgeons, one part-time surgeon, and one physician assistant. This role reports directly to the CEO and is a key member of the organization’s management team. The Practice Manager will oversee daily operations, ensure efficient administrative and clinical workflows, and foster a positive, professional atmosphere for both staff and patients. You’ll learn the intricacies of the neurosurgical specialty, support both clinical and administrative teams, and apply that knowledge to improve processes and patient experience. As part of the broader management team, the Practice Manager will also have opportunities to contribute to corporate initiatives, assist with strategic operations, and collaborate on organization-wide projects that support growth and excellence. Responsibilities: Operational Leadership • Oversee daily office operations, ensuring smooth coordination between front and back-office staff., • Manage scheduling, patient flow, and administrative workflows to maintain efficiency and patient satisfaction., • Ensure the cleanliness, safety, and organization of the site at all times., • Handle facilities management, ordering supplies, and overseeing maintenance needs., • Track and analyze key business metrics such as patient wait times, satisfaction surveys, and provider productivity., • Cross-train across all front and back-office functions to ensure seamless coverage and continuity of operations during staffing gaps or high-volume periods., • Collaborate with managers across other locations to align workflows, share best practices, and ensure operational consistency. Business Oversight • Partner with leadership to monitor performance goals and identify opportunities for improvement., • Interact with vendors, sales representatives, and service providers to ensure high-quality support for site operations., • Develop contingency plans to ensure continuity of operations during emergencies or unexpected disruptions., • Represent the Montclair office at regional leadership meetings, contributing local insights to system-wide initiatives. People Management • Supervise, train, and mentor staff to ensure consistent, high-quality performance., • Conduct and oversee performance reviews, staff development plans, and corrective action when needed., • Collaborate with HR to address employee relations issues, manage scheduling, and ensure adequate coverage., • Hold regular team meetings and promote open communication to support engagement and accountability. Patient Experience • Foster a welcoming environment where patients feel appreciated and at ease., • Respond promptly and compassionately to patient concerns or complaints., • Champion a culture of service excellence, ensuring patients receive the highest level of care and professionalism. Qualifications • 4–6 years of management experience in healthcare (preferably a medical practice)., • Bachelor’s degree in Business Management, Healthcare Administration, or related field preferred (relevant experience will be considered in lieu of degree)., • Strong leadership, communication, and organizational skills., • Proven ability to multitask, prioritize, and adapt in a fast-paced environment., • Demonstrated ability to motivate and develop teams., • Proficiency with eClinicalWorks (eCW) preferred., • Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) required.
