AMERICAN INSTITUTE FOR FOREIGN STUDY (AIFS) Position: Student Services Coordinator Department: AIFS Abroad Location: Valencia Reporting to: Valencia Director Hours & contract type: Full-time Mid-January -June 2026. About AIFS The American Institute for Foreign Study (AIFS) was founded in 1964 and since then, over 1.6 million participants have joined our educational and cultural exchange programs. Over 7,000 American college participants study abroad each year with the AIFS Abroad Division. AIFS Abroad is comprised of AIFS Study Abroad, sending approximately 4,000 students to local universities around the world, AIFS Customized, hosting approximately 2,500 students on customized, faculty-led programs and AIFS Internships, placing approximately 650 students on internships each year. AIFS Valencia Study Abroad welcomes participants year-round hosted at the UCV and faculty-led groups. Program lengths vary from 1 week to a full 16- week semester or academic year. Job Summary/Main Purpose The AIFS Abroad division of AIFS has a vacancy for a Student Services Coordinator for its spring and summer programs in Valencia. Your job will be to work as part of a team assisting U.S. undergraduate college students and professors as they live and learn on Study Abroad programs. The Student Services Coordinator role provides a vital support function to U.S. college participants throughout their experience abroad. Working with the Program Director in the planning and implementation of the program you will assist in the setting up of housing placements and plan and organize cultural activities and excursions. You will also assist in the day to day running of the program and provide pastoral support, responding to participant issues and emergencies with care and professionalism. If you are enthusiastic, enjoy travel, meeting people and helping others, then please read on: Responsibilities • To participate in an on-site Student Services team to deliver information services, a cultural program, adjunct courses, counselling/advice and housing services for visiting U.S. participants and faculty., • To be available to handle specific personal problems and concerns of individual participants as they arise., • To assist with participant medical issues including doctor’s appointments/hospitalisation and to handle claims for insurance in line with company policy., • To provide emergency cover for participants with the aid of a duty mobile telephone as part of a team on a rota basis., • To assist in the planning of upcoming AIFS programs – booking guides, coaches, organising excursions, housing, classrooms and other program components as required., • To assist in the preparation of social events., • To assist in welcoming, and meeting with, US campus administrators during site visits., • Occasional evening duties, weekend work and travel away from Valencia (cultural events, welcome receptions, extended office hours, overnight excursions etc.) This will require working extended hours via a flexi-time arrangement., • To use digital media such as Facebook or Instagram, as required., • To use AIFS systems and programs such as SharePoint, Excell, relevant portals, Canva and any partner university systems effectively., • Any other duties as required. Candidates should note that this is not a 9-5 position; because of the nature of the role the ability to work flexibly and unsociable hours including some weekends are essential requirements. Performance indicators • To achieve at least 95% excellent and good combined in all categories on participant evaluation forms., • To achieve positive feedback from program faculty and U.S. co-ordinators., • To complete assigned tasks within the allotted timeframes Skills Required • Fluency in Spanish and minimum advanced level English., • A degree or equivalent, preferably with time spent living/studying abroad., • Good organisational and administrative skills., • Attention to detail., • Good interpersonal skills and a confident and helpful manner preferably with experience of working in customer services or a student services role., • Numeracy and ability to maintain records of expenditure., • Pride in work; flexibility; ability to work as part of a team, to be able to prioritise and meet deadlines., • A working knowledge of Social Media platforms., • Interest in working in the study abroad field., • Knowledge of Valencian culture and monuments. Holiday In return for the weekly working time for Valencia, Spain, 40-hour working week and additional hours according to program needs, your holiday entitlement is 22 working days (30 calendar days) paid holiday a year pro rata, plus public holidays. Weekend days or public holidays worked will be compensated with a day in lieu. Salary to be discussed if your application is taken through to interview.
