General Duties/Key Responsibilities: Fleet Operations & Availability Manage the day‑to‑day operation of the company fleet, ensuring vehicle availability aligns with operational deman • dCoordinate vehicle allocation, returns, replacements, and change, • sAct as the first point of contact for drivers regarding vehicle issues, defects, breakdowns, accidents, and querie, • sSupport operational teams to minimise downtime and disruptio n Maintenance, Inspections & Servici • ng Schedule and manage servicing, repairs, MOTs, inspections, and maintena • nceRaise jobs with garages, suppliers, and leasing providers via phone, email, and internal syst, • emsEnsure pre‑use checks and vehicle inspections are completed and recor, • dedArrange vehicle collection and delivery when requi red Compliance & Sa • fety Ensure compliance with all relevant legislation and company pol • iciesMaintain accurate fleet records including inspections, MOTs, servicing, insurance, penalties, and accident re, • cordsSupport external audits and inspec, • tionsEnsure Vehicle Driver Handbook and Safe Systems of Work are implemented consist ently Driver Management & Indu • ctions Conduct fleet inductions for new s • tartersCarry out driving licence checks, eyesight checks, fitness & health, • checksLog and manage driver infractions, PCNs, and pe, • naltiesIdentify driver training needs and coordinate training where r, • equiredLiaise with HR on conduct, disciplinary, or policy‑related matters Accidents, Insurance &a • mp; Risk Manage vehicle accidents and incidents from reporting through to r • esolutionLiaise with insurers, repairers, and internal sta, • keholdersMonitor claims, costs, and trends to reduce risk and ex penditure Cost Control & Admi • nistration Manage fleet administration including paperwork, scanning, and sys • tem updatesMonitor costs relating to repairs, fuel, tyres, leasing, private mileage, fines, an, • d insuranceSupport value‑for‑money decisions and continuous cost, • improvementManage fuel cards, tyre providers, telematics (e.g. Lightfoot), and relate d suppliers Health & Sa • fety Support Maintain registers for fleet‑related safety equipment (e.g. ladders, first aid kits, fire e • xtinguishers)Support toolbox talks and SHEQ communications when required Continuo • us Improvement Identify and suggest improvements to fleet systems, processes, and • ways of workingSupport the development of safer, more efficient f, • leet operationsRepresent the business professionally with suppliers, auditor s , and partners Qualificati • ons and Skills: Experience in a hands‑on fleet, transport, or operational c • oordination roleStrong administrative background with oper, • ational exposureStrong knowledge of vehicle compliance, maintenance, and, • fleet operationsConfident using IT systems including Excel, Word, Outlook, and intern, • al fleet systemsGood literacy and numeracy skills; able to manage data, reports, a, • nd cost trackingAbility to prioritise workload in a busy, fast‑moving operati, • onal environmentProfessional and confident communicator, able to deal with drivers, managers, and ex, • ternal suppliersExperience in a service, construction, engineering, or contractor‑based environ ment (Desirable)
