Job Description Job Title: Construction Project Coordinator / Administrative Assistant Job Description We are seeking a Construction Project Administration Coordinator specializing in Heavy Civil, Utility, and Infrastructure Construction. This role is pivotal in supporting project operations, ensuring compliance, and facilitating timely processing across multiple active projects. Responsibilities • Prepare and process monthly client payment packages accurately and on time., • Compile all required supporting documentation including bills, certified payroll reports, sign-in sheets, affidavits, lien waivers, insurance documents, and other client-required forms., • Ensure all submissions comply with client and contract requirements., • Coordinate with project managers and field staff to gather required backup documentation., • Follow up with clients regarding payment status and resolve discrepancies professionally., • Assist with collections and aging reports as needed., • Manage and track extra work tickets generated throughout projects., • Prepare and submit invoices based on signed field tickets and supporting documentation., • Ensure all extra work submissions meet contractual deadlines and client time-frame clauses., • Coordinate union paperwork, fringe benefit reporting, and labor compliance documentation., • Support internal and external audits, including payroll, union, and client compliance audits., • Maintain organized records for all compliance-related documentation., • Collect and organize daily reports from field representatives and project teams., • Follow up with field personnel to ensure timely and accurate report submission., • Provide administrative support to project managers and office staff., • Maintain project records, filing systems, and data entry., • Assist during client negotiations by preparing supporting documentation and project records., • Support overall project completion and client satisfaction efforts. Essential Skills • Minimum 3+ years of experience in heavy construction or civil construction administration., • Strong knowledge of certified payroll, union compliance, construction billing, prevailing wage projects, extra work ticket processing, and accounts receivable., • Experience working with local agencies, utility companies, or public works projects preferred., • Excellent organizational and time management skills., • Ability to manage multiple deadlines in a fast-paced environment., • Strong communication and follow-up skills., • Proficient in Microsoft Office Suite (Excel, Word, Outlook)., • Notary Public certification preferred or willingness to obtain certification. Additional Skills & Qualifications • Preferred experience with DEP, DOT, Con Edison, National Grid, or MTA projects., • Experience supporting heavy civil, utility, roadway, or infrastructure projects. Job Type & Location This is a Permanent position based out of Mount Vernon, NY. Pay and Benefits The pay range for this position is $75000.00 - $100000.00/yr.
