Job DescriptionDescription: About Us American Packout of Newark is a contents restoration and packout services company specializing in residential and commercial losses caused by water, fire, mold, and other disasters. We partner closely with insurance carriers, adjusters, contractors, and property managers to provide professional, efficient, and well-documented contents restoration services. As part of a growing national organization, we are launching and scaling high-quality packout operations in the New Jersey market. Position Summary The Packout Project Manager is responsible for managing and executing all residential and commercial packout and contents restoration services from start to finish. This role is hands-on and labor-intensive, requiring active participation in packing, moving, lifting, loading, and unloading customer contents while leading packout operations in the field. In Newark, this role also carries a division-launch and market-development focus. The Packout Project Manager will help build the Packout & Contents Restoration division from the ground up by developing referral relationships, generating new business, establishing workflows, and building scalable systems while maintaining strong production, documentation, and profitability standards. This is not a supervisory-only role. The Packout Project Manager is expected to work in the field daily while managing projects, documentation, and business development responsibilities. Key Responsibilities Division Launch & Business Development • Help launch and build the Packout & Contents Restoration division in the Newark market from the ground up, • Generate new business through marketing, networking, and relationship-building with adjusters, agents, contractors, and property managers, • Develop and manage a pipeline of leads and referral sources, • Represent the company professionally in the community and at industry events Project Management & Operations • Manage packout projects from initial loss through packback, ensuring quality, customer satisfaction, and profitability, • Perform on-site inspections and develop accurate scopes of work for contents packout and restoration, • Assist with or perform packouts and field work as needed, especially during early-stage growth, • Coordinate and schedule crews, cleaning operations, storage, and delivery logistics, • Ensure all contents are properly inventoried, photographed, labeled, and tracked, • Plan and coordinate pack-backs upon completion of mitigation or reconstruction Financial & Administrative Control • Maintain organized job files with complete documentation for insurance billing, • Track labor, materials, storage, and job costs to ensure projects meet profitability goals, • Order, stage, and manage materials and supplies for each project, • Prepare and support accurate invoicing to insurance carriers and clients Quality & Process Development • Establish, improve, and document systems, workflows, and processes as the division grows, • Maintain quality control standards and resolve customer concerns promptly, • Ensure all work is performed safely, efficiently, and in accordance with company standards Communication & Client Relations • Communicate professionally with homeowners, adjusters, and referral partners throughout each project, • 3+ years of experience in packout, contents restoration, or related restoration project management, • Proven ability to manage packout projects from loss through packback, • Experience working directly with insurance adjusters and carriers preferred, • Strong organizational, documentation, and cost-tracking skills, • Comfortable performing physical field work, including lifting, carrying, loading, and unloading contents, • Valid driver’s license with clean driving record, • Strong communication, leadership, and customer service skills, • Ability to work in fast-paced, multi-project environments, • Ability to lift and carry up to 75 lbs regularly, • Ability to stand, bend, climb, and work in residential and commercial environments, • Comfortable working in varying weather and job site conditions, • Competitive compensation based on experience, • Medical, dental, and vision insurance, • Paid time off and holidays ADA Statement Applicants must be able to perform the essential functions of this position with or without reasonable accommodation. Things You Will Do Leadership • Hire, train, and supervise all team members through a positive mentoring approach, • Empower team members by setting high goals to challenge your team, while also holding yourself accountable for their success, • Assist in the hiring process by vetting candidates to select viable candidates, • Provide comprehensive feedback to all team members, document, and facilitate disciplinary procedures as necessary, • Work closely with the Maintenance Supervisor to monitor and schedule make-readies and other maintenance activities like capital projects progress, and preventive maintenance programs, • Oversee day-to-day business operations of the community, • Drive occupancy and NOI through strategic marketing and leasing, • Manage resident relations, conflict resolution, and retention efforts, • Lead a high-performing team to achieve occupancy, rent growth, and customer service goals, • Interface with leadership on occupancy data and service KPIs, • Prepare and execute a community budget, • Prepare weekly and monthly reports, • Ensure that rent is collected and posted in a timely manner, and bank deposits are made immediately, • Maintain open communication with vendors and contractors concerning work scheduling, billing, vendor relations, and certificates of insurance, • Submit invoices for payment promptly, • Suggest rental rate recommendations to the Regional Manager, • Have a strong working knowledge of the market and comps, • Report liability and community incidents to the required distribution group, • Meet financial targets by setting rents, collecting revenue, and managing expenses effectively., • Oversee the screening process and vetting of applicants for creditworthiness, • Assume responsibility for the office and model apartments opening on schedule and in excellent condition, • Provide outstanding customer service to residents and future residents, • Take pride in the apartment community; visually inspect and address areas of concern, keep the community clean, and report service needs to maintenance team members, • Build relationships with residents through courteous and timely responses to needs and concerns, • Think safety first and ensure that unsafe conditions are corrected promptly, • Visually inspect/prepare the entire property (office, models, compactor, vacant areas, curb appeal, and amenity areas) daily for cleanliness., • Inspect and touch up model and vacant units. Responsible for maintaining the work area and office cleanliness, • The candidate must have experience leading a high-profile, large-scale (400+ unit) Class A luxury or flagship community, • Prior lease-up and/or new construction experience, ideally delivering and stabilizing a property of similar scale, • Strong revenue management experience, including pricing strategy, concession management, rent growth planning, and competitive market analysis, • Proven capital project oversight, including warranty coordination, vendor performance management, and preventive maintenance programs, • Track record of building, mentoring, and retaining high-performing on-site teams in fast-paced environments, • Familiarity with property management software such as Yardi and RentCafe, as well as platforms like Knock CRM, Elise AI, and AIRM, • High School diploma or equivalent; bachelor’s degree preferred, • Willing to work a flexible schedule, including weekends and holidays, • A sharp, professional appearance, • Must be able to walk the property, which includes climbing stairs, • Must be able to bend, stoop, squat, kneel, climb stairs, push, pull, reach, and carry supplies, • Stand for extended periods of time, • Dynamic team leadership and communication abilities, • Working Knowledge of Fair Housing Laws, • Working knowledge of Affordable Housing programs, • Proficiency in Microsoft Office (Word, Excel, and Outlook), • Able to multitask and meet deadlines in a timely manner South Oxford Management LLC provides a range of insurance options and benefits for our full-time team members.
