Job Description House Manager / Administrative Assistant – Job Description Overview The House Manager/Administrative Assistant is responsible for ensuring the smooth, efficient, and organized operation of a private household consisting of a primary residence and a separate studio. This role requires exceptional computer proficiency, superior organizational abilities, and strong communication skills. The ideal candidate is a self‐starter who is highly tech‐savvy and comfortable spending the majority of their workday on a computer. Key Responsibilities Administrative & Computer-Based Tasks (Heavy Computer Use) • Create, format, and edit documents in Microsoft Word, including both simple text documents and more complex pieces with columns and specific formatting standards (fonts, margins, spacing)., • Download, organize, and save photos, articles, and files; compile content into clean, readable documents by removing ads, resizing layout, and ensuring professional presentation., • Prepare a daily activity report summarizing completed tasks, the status of ongoing projects, and next steps., • Oversee daily operations of the household and studio to ensure an organized, efficient environment., • Monitor staff attendance and alert the employer of absences or issues., • Answer phones, intercoms, and door calls promptly and professionally., • Sort, distribute, and organize incoming mail., • Communicate new tasks and updates to household staff., • Reconcile the chef’s purchases and expense records., • Complete assorted online purchases on behalf of the employer., • Research, evaluate, and source vendors for household maintenance and projects., • Prepare written documentation outlining project needs and vendor options., • Present recommendations and proposed solutions to the employer., • Troubleshoot minor computer or device issues; coordinate with external IT consultant for major technical problems., • Superior organizational skills with strong attention to detail., • Advanced proficiency in Microsoft Word and strong working knowledge of Excel., • High technical aptitude, including experience with Apple products, internet research, downloading/saving digital content, and digital file organization., • Ability to spend significant time on the computer (approximately 95% of the workday)., • Excellent communication skills, both written and verbal., • Self-starter with the ability to work independently and anticipate needs., • Pay - $55-$57/Hr, • 5 Month Contract
