The role is primarily focused on exceeding client expectations through proactive planning and preparation, including project schedule, effective sub & vendor management, addressing field issues, timely project close-out and managing finances. Engagement will start from pre-construction; sub & vendor leveling, to final client, sub & vendor close-outs, and service contract/future opportunities with the client and building. Key Responsibilities: • Review projects prior to kick-off meeting. Visit jobsite as necessary., • Advise purchasers of any specific conditions or potential cost savings, preferred subcontractor list, • Based on GC base schedule, formulate a job specific schedule for mechanical trades, • Attend, monitor and provide solutions at coordination meeting as required, • Manage subcontractors in field to ensure project schedule is being met, • Provide general mediation and troubleshooting for client and subs throughout the project, • Meet with the PE weekly to discuss project status, issues and look ahead, • Own, or delegate completion of all daily labor, safety or other required field reports, • Monitor project progress through jobsite visits & daily communication, subcontractors, vendors, etc., • Attend client interviews, as deemed necessary by the executive team and the estimating department., • Monitor and ensure project engineer submits and releases all shop drawings and equipment in a timely fashion., • Establish relationship between client and service department for future service agreement., • At 90% completion, confirm punch list is received and completed all startup and balancing., • Mentor the Junior PM through involvement with project issues, meetings, and one on one dialogue, • Coordinate Ainsworth subcontractor’s installation with client and other trades, • Monitor all change orders for understanding of the work that is involved, the status of the associated work and materials and the customer’s acceptance of the additional work., • Manage the finances and cash flow of each project ensuring all projects risks are kept to a minimum, collecting money on a timely basis, collecting change orders and minimizing back charges, • Responsible for monthly payment requisitions, pencil and final, follow up on payments, • Work with the accounting department to submit accurate invoices and monitor subsequent progress billing. Financial Coordination & Outsourced Accounting Monitoring • Support monitoring of outsourced accounting partners to ensure accuracy and timeliness of AP, AR, general ledger entries, and reconciliations., • Track adherence to the month-end close calendar and elevate delays or issues., • Review draft monthly and quarterly financial reports for accuracy, policy alignment, and consistency with audit and FASB standards., • Review monthly FTE and staffing reports for accuracy, completeness, and alignment with approved budgets., • Identify discrepancies or gaps in the data and ensure timely corrections., • Upload and archive a monthly read-only copy of the general ledger to the Agency’s server. Payroll & Finance Administration • Support ADP payroll processing as needed, including collecting timesheets and validating payroll data., • Serve as back-up to payroll as needed; run, analyze and interpret payroll reports., • Assist with resolving payroll questions and maintaining accurate records., • Support the preparation of materials for audits, funder reviews, and monitoring visits., • Maintain organized and up-to-date financial files and shared documentation systems., • Support preparation of internal reports, schedules, and materials for leadership, board committees, and funders., • Participate in budget, spending, and variance review discussions with program and administration teams. Additional Responsibilities • Provide operational and administrative support to the Senior Director of Finance & Administration and the finance team., • Provide critical support during special projects and peak workflow periods, including month-end close, audit preparation, and major grant reporting cycles. QUALIFICATIONS Education & Experience • Bachelor’s degree in finance, accounting, business administration, or a related field; nonprofit finance and accounting experience required., • Experience with Bill.com, ADP, and Sage Intacct (or comparable systems) strongly preferred., • Demonstrated experience in accounts payable, procurement, payroll processing or financial operations., • Experience collaborating with outsourced accounting providers a plus.
