We are seeking a Project Manager to join our Business Development team! In this role, you will be responsible for managing the RFP and proposal process, responding to inbound requests, maintaining the business development pipeline, tracking industry activity, and helping us close new business deals. Additionally, this role will positively contribute to making Invisible North’s culture an envy of the industry, a studio that turns out jaw dropping creative and design and does so by upholding an inclusive, flexible and giving work environment. While our main office is located in DUMBO Brooklyn, we work as a distributed team with members reaching from Maine to LA, and everywhere in between. This position is full-time, remote or hybrid (NYC), and should expect to work on ET hours.. Roles + Responsibilities Project Management • Project manage the RFP and proposal process, acting as the connective tissue among different departments/teams to track progress; keeping teams on time and to task:, • --- Attend client briefing calls, • --- Field all information from client meetings and/or emails, • --- Manage the Go/No-Go process with Leadership in order to align via RFP Assessment Tool, • Administrative ownership of tasks such as status tracking all current BD opportunities, revenue tracking, resource allocation, project asset management and team communications, • Create effective in-take and briefing documents to inform our team of client ask with helpful insights, • Manage workback schedules/timelines for deliverables included in the RFP process, • Coordinating with client for QAs, tissue sessions, presentation dates, etc., • Maintain clear status tracker of all active RFP/RFI responses and incoming opportunities, including:, • --- All relevant materials and latest iterations of internal documents, • --- Current project information and next steps, • --- Client priority levels, business rationale, and industry verticals, • --- All relevant dates and deadlines/milestones, • --- Team resource structure, • Hold productive RFP Post Mortems, aggregating data on team’s feedback post-submission to improve future RFP processes, • Assist in vendor registration for new clients, • --- PM process and ensure materials that are needed are gathered Strategic Support • Digest client briefs and provide a strategic lens including client intel and sales strategy, • Confirm client expectations, goals, and KPIs are relayed to the internal project teams, • Act as the conduit between production and creative teams to ensure that ideas are aligned with the brief and within budget, • Provide relevant feedback during creative reviews to help steer the strategy to meet the clients needs, • Directly own the final proposal deck making final updates, proofreading and/or feedback Support Growth and Foster Client Relationships • Maintain timely and ongoing communication with clients and ensure high levels of engagement with priority prospects, • Support the Business Development team in pulling together sales materials or agency information such as capabilities presentations or RFI responses, • Screen potential business opportunities or partnership opportunities and lead initial conversations with potential clients, • Transition work from proposal to active and awarded projects:, • --- Collating and organizing information in a clear and consolidated manner to be passed from the Business Development team to active teams for project execution, • --- Collaborate with the Accounts Team to guarantee that client communications are smoothly passed between teams and that there are no gaps in service or loss of information Reporting • Report on manpower/hours burned against BD opportunities and highlight how that aligns with potential revenue and profit margins, • Maintain clear status tracker of all active RFP/RFI responses and incoming opportunities, including:, • --- All relevant materials and latest iterations of internal documents, • --- Current project information and next steps, • --- Client priority levels, business rationale, and industry verticals, • --- All relevant dates and deadlines/milestones, • --- Team resource structure, • Revenue tracking + reporting, • --- Regular updates of new business revenue numbers based on wins/losses/pipeline updates, • --- Monthly report of YTD revenue updates inclusive of: progress to goal, close/win rate, confirmed revenue totals, pipeline of forecasted/potential revenue, comparison of organic vs net new opportunities, • Hold productive RFP Post Mortems, aggregating data on team’s feedback post-submission to improve future RFP processes Skills + Qualifications • Must have a minimum 3+ years of relevant agency experience, • BA/BS degree, preferably in communications, marketing, advertising or related field, • Superior written and verbal communication skills and ability to move quickly, • A natural networker with an outgoing, positive, and professional personality, • Entrepreneurial spirit with the ability to grow business through a mix of creativity, strategic thinking, and relationship development, • Comfortable with various productivity tools, particularly technical skills using Google Workspace: Gmail, Meets, Drive, Slides, Docs, and Sheets, • Knowledge of sales, revenue reporting, and driving business growth, • Experience in client relationship management and providing top-level customer service, • Be proactive, organized, and handle work under fast-paced and uncertain environments, • Exceptional presentation skills, both written and verbal, in order to express technical and nontechnical concepts clearly and concisely, • Able to successfully work remotely during EST hours, or from our NYC office, • Able to travel to project locations and the IN Office as needed (if remote), • Availability to work occasional weekends and evenings as needed for specific projects (and to be made up with compensatory time off) Compensation Full-time salary: $90,000 - 100,000/ yr *This is not a guarantee of compensation or salary, the final offer amount may vary based on factors including but not limited to experience and geographic location.
