Provides contraceptive supplies, information and instructions for their use, as appropriate and delegated by the Senior Clinician/Clinician.Assists in the clerical and informational tasks related to proper follow-up of patients according to the protocols and procedures of PPHP.Performs options counseling.Cleans, prepares and stocks exam rooms, sterilizes instruments according to OSHA and PPFA standards.Ensures, through a professional, open, and courteous manner, that each patient receives the care and information he or she needs.Assists in the referral of patients to other services provided by PPHP or other agencies in the community, as indicated.Assists in the maintenance of an efficient, clean and comfortable Center facility.Takes personal responsibility to remain informed about family planning methods, abortion and other services offered by PPHP; PPHP protocols, policies and procedures; and to request training and continuing education as needed.Participates, as assigned, in routine Center chart audits and quality assurance procedures.Provides support and direction to Center volunteers as needed and directed by the Health Center Manager.Completion of an accredited high school program or equivalent required; further education, training, and/or certification preferred. DETAILED RESPONSIBILITIES • Maintain records within Captain (close members, assign goals, etc.), • Create member files, • Take inventory and order office/kitchen supplies as needed, • Distribute ordered supplies and restock supplies as required in designated areas, • Provide office orientation for new staff (introduce to other teams, show/review emergency exits, show/review safety protocol), • Send a program welcome letter to new members and closing documents to members who have disenrolled, • Organize and deliver inter-office mail, • Send member satisfaction surveys, • Answering Phones, greeting visitors, Scanning, faxing, and filing as required, • Ability to lift, stand, bend, and sit to complete needed tasks QUALIFICATIONS: • MUST HAVE Computer knowledge, including but not limited to Windows, Microsoft Office, • Ability to work as part of a team with co-workers and with other colleagues as necessary, • Cultural sensitivity and the ability to relate/work with diverse groups, community agencies, schools, and the general public, • Strong organizational skills with a focus on detail, • Ability to Multitask in face pace environment, • Ability to follow directions and communicate well (orally and in writing) REQUIRED: Valid New York Driver's License and Insured Vehicle REQUIRED: PPD (TB) TEST WITH RESULTS EDUCATION/TRAINING/EXPERIENCE High School Diploma/GED Plus two years of experience as a secretarial or program assistant. Maintains appropriate gross profit margin for each case., • Maintain all scheduling of caregivers and respond to situations where scheduling conflicts, emergencies and/or “call-outs” arise. The company schedule must be complete three days before all scheduled shifts., • Communicate timely and positively any caregiver changes and updates to the schedules ahead of the scheduled time, with the client/family., • Track and record in company software for all scheduling changes., • Accept on-call duty averaging two weeks per month and as directed by supervisor., • Communicate and provide input to the internal staff on hiring needs on a regular basis., • May assist in keeping caregiver files up to date, including tracking expirations of any licensing, insurance, etc. in computer software. Collects new documents as directed, notifies supervisor when new documents cannot be obtained., • Audits timecards on a regular basis to ensure hours match scheduled hours., • Demonstrate an ability to identify and solve problems; uses initiative and good judgment to reach quality decisions., • Coordinate shift back-fill activities in the event of caregiver tardiness or absences., • Act as point of contact with client family regarding schedules., • Maintain an excellent rapport with clients and caregivers and effectively promote positive interpersonal relationships., • High School Diploma or equivalent (GED) is required, Associate’s degree preferred, • Previous experience in customer service preferred, • Minimum of one year in a staffing/scheduling/logistics position preferred, • Knowledge of general home care/healthcare staffing preferred, • Excellent organization and communication skills, • Quick-thinking and astute decision-making skills, • Team player, excellent verbal and communication skills, adaptable in different situations, possesses excellent client interaction skills, able to multi-task and work independently, • Must have experience using telephones with multiple lines, multi-task on several calls and maintain professionalism and patience within a fast-paced environment, • Excellent problem-solving and creative-solution abilities We are an equal opportunity employer and prohibit discrimination/harassment without regard to race, color, religion, age, sex, national origin, disability status, genetics, protected veteran status, sexual orientation, gender identity or expression, or any other characteristic protected by federal, state and local news
