Job Summary: The Senior Executive Assistant | Executive Operations Manager will be proactive, organized and self-motivated taking on new challenges to strategically support a growing business with a variety of responsibilities and dynamic key projects. This role will work directly with our President and support the success of our executive management team. This individual will work closely with senior leaders providing high-level support and leading key projects. The role requires interacting with employees at all levels of the organization as well as with clients, board members and other external stakeholders. This role will perform multiple administrative support roles for Mercer Advisors including interactions with executive leadership, employees and working with both clients and investors. Essential Job Functions will include: Key Executive Assistant duties: • Supporting multiple executives including the President and other senior leadership with all administrative needs, • Proactively managing complex calendars and meeting scheduling, • Acting as the point of contact between executives and employees/clients managing the timely communication of information with a service mindset, • Creating, drafting, editing and proofing reports, spreadsheets, letters, written correspondence, presentations and other documents as well as updating internal systems, • Support Board related responsibilities, • Assist with Mergers & Acquisition related requests, • Monitoring, tracking, and organizing data, reports and documents, • Coordinating travel arrangements and processing expenses, • Screening and directing incoming calls including determining the level of priority while maintaining confidentiality, • Building and maintaining positive relationships with external callers as well as internal contacts at all levels of the organization, • Assisting senior leaders with activities related to new strategic projects and initiatives, • Researching, collecting and analyzing information, • Executing responsibilities without prompting and advising in advance with issues or delays, • Coordinating internal and external events as needed, • Other duties as needed Key Executive Operations Manager duties: • Manage company leadership calendar and cadence – support the strong collective effectiveness of the leadership team by creating an effective cadence for communication and collaboration., • Manage the overall company calendar, • Manage the Exec team calendar / whereabouts, • Orchestrate leadership involvement in client / prospect events (speakers' bureau concept), in partnership with local marketing, • Organize leadership events. Work with the CEO and President to organize the effective governance of the 'organic business'. These include, for now:, • Business Leadership Team, • Quarterly Business Reviews, • Semi-Annual ELC meetings / offsite (in partnership with others), • Annual leadership forum, • Support board committees convened by the President & CFO, respectively. Including, for now:, • Organic Working Group (Board), • Budget Working Group (Board), • Coordinate executive coverage and project support. Ensure successful coverage of the executive group more broadly, • Working with the President & CFO, determine the appropriate Executive Assistant coverage ratios for different levels of the organization, • Oversee Executive Assistant coverage alignment, including coverages during leave, • Assign strategic projects / tasks related to the above to Executive Assistants, • +10 years of experience in an administrative support role required, • +5 years planning and executing events, • High school diploma required; Bachelor's degree strongly preferred, • Proficiency with MS Office programs including Word, Excel, Outlook and PowerPoint; other technologies like Zoom, Teams, and Box., • Experience exercising discretion and confidentiality with sensitive company information, • Ability to excel in a fast-paced, deadline-driven and collaborative environment, • Ability to plan, prioritize and organize a diverse workload, • Ability to adapt procedures, processes and techniques to complete projects and tasks, • Ability to work independently and remain flexible as priorities change, • Results-driven, solution-oriented, • Highly organized, detail oriented, • Strong interpersonal and verbal/written communication skills, • Self-starter and critical thinker, • High level of executive presence Work Schedule: This professional role requires availability during standard business hours of Monday through Friday from 8AM to 5PM. At times, the role may have early or late hours to meet business tasks and deadlines for external and internal client needs. Role will require in office presence ~3 days per week, with flexibility as needed. Working Conditions: This position may be in a professional office environment or a dedicated home office workspace which is free of interruptions. Whether position is in a dedicated office space or home office workspace, basic technology needs will be provided to satisfy position requirements. Routinely sitting and standing for periods of time. No heavy lifting over 10 lbs. Salary: Average annual salary range for this position across our locations is: $115,000 to $130,000. Actual base pay within this range will be based on a variety of factors, including but not limited to the applicant's geographic location, relevant experience, education, skills and licenses/certifications. This position is also eligible to earn incentive compensation through one of Mercer Advisors' incentive compensation programs.
