PHS administers WholeYouNYC (WYNYC), a coordinated community resource network that builds trustworthy and reliable pathways between healthcare providers, health plans and CBOs providing critical resources in the community that address the social drivers of health. WYNYC brings together over 100 organizations offering various programs – such as food, housing, employment, health insurance, and sexual health services – across all five boroughs. These services and programs make it possible for New Yorkers to live their healthiest lives and reduce health disparities and advance health equity. To date, our network has already impacted thousands of lives through community partnerships and referrals, generating millions in estimated healthcare savings. New York State (NYS) recently announced the availability of $500M statewide to support Social Care Network (SCN) lead entities responsible for coordinating social care delivery in various regions across the state. Public Health Solutions (PHS) and our WYNYC network were awarded the role of regional SCN for Brooklyn, Manhattan, and Queens. This is a grant-funded position ending March 31, 2027. Program Description: As the recipient of direct and pass-through awards sponsored by federal, state, city and private entities, Public Health Solutions (PHS) must comply with the guidance outlined in OMB’s Uniform Administrative Requirements, Cost Principles, and Audit Requirements for Federal, state, city, and private Awards. The Finance Division is responsible for the financial monitoring of sponsored project funds awarded to PHS that are sub awarded to another institution or organization (“subrecipient”). The awards are for financial assistance to a collaborator to facilitate performance of and payment for specific work to be conducted by such subrecipient in connection with the sponsored project (subaward). As a condition to its acceptance of direct or pass-through funding from a sponsor, PHS is obligated in its role to undertake certain stewardship activities and ensure compliance by the subrecipient with all applicable laws and regulations, and with the restrictions placed upon the award by the sponsor. The post-award monitoring process will use financial reporting, and other means to provide reasonable assurance that the subrecipient administer awards in compliance with such provisions and that contract performance goals are achieved. Position Summary: The Grant Monitor Assistant provides administrative, analytical, and compliance support to the Subrecipient Monitoring team. This role assists with coordination and documentation of monitoring activities; review of financial and programmatic reports; tracking compliance requirements; and maintaining accurate records to ensure subrecipients meet all grant, contractual, and regulatory obligations. Specifically, the Grant Monitor Assistant will: • Assist in conducting routine monitoring of subrecipients, including reviewing quarterly/annual reports, invoices, supporting documentation, and performance data., • Help verify compliance with federal, state, and local grant requirements (e.g., 2 CFR 200)., • Track submission deadlines and follow up with subrecipients regarding missing or overdue documents., • Support development and maintenance of monitoring tools such as checklists, templates, and evaluation forms., • Maintain organized records of grant files, reports, correspondence, and monitoring documentation., • Enter and update data in grant management databases or tracking systems., • Assist with gathering documentation for internal reviews, audits, and external compliance assessments., • Serve as a point of contact for subrecipients regarding routine monitoring questions, document requests, and reporting deadlines., • Draft and distribute monitoring-related communications, including reminders, correction requests, and follow-up notifications., • Assist in preparing monitoring summaries, risk assessments, and compliance status reports., • Identify missing information, inconsistencies, or areas of potential noncompliance and escalate concerns to the Subrecipient Monitoring Manager or Compliance Officer., • Support data analysis related to performance trends, financial patterns, and compliance indicators., • Provide general administrative support to the Subrecipient Monitoring team, including compiling materials, drafting correspondence, and organizing documentation., • Perform other duties as assigned. Qualifications and Experience: • High school diploma or equivalent and 4 years related experience or Bachelor's Degree., • Prior experience in non-profit accounting is a plus., • Familiarity with grants management (e.g., Uniform Guidance 2CFR Part 200) is advantageous., • Proficiency in Excel and the Microsoft Office suite., • Basic knowledge of Sage Intacct preferred., • Effective communication, presentation, analytical, and interpersonal skills, with an ability to collaborate in both independent and team settings within a dynamic environment., • Meticulous attention to detail and adeptness at managing multiple tasks and interactions concurrently.
