Job Description Overview: Skin 22 Concierge Skin, a concierge med spa, is seeking a highly organized and detail-oriented Patient Coordinator and Office Assistant to oversee the day-to-day operations of our med spa. This role is critical in maintaining a seamless and exceptional client experience while supporting the Manager in operational tasks. The ideal candidate is professional, proactive, and embodies the elegance and sophistication that Skin 22 Concierge Skin represents. Key Responsibilities: 1. Office Operations: • Arrive at least 30 minutes before the first appointment to prepare the office., • Turn on all lights, power on treatment devices, and ensure they are functioning properly., • Set the thermostat to maintain an optimal temperature between 68-72 degrees Fahrenheit., • Light the front office candle, trimming the wick as needed, to create a welcoming ambiance., • Play appropriate background music to enhance the client experience., • Conduct thorough room sweeps to ensure all supplies are restocked, including skincare products, alcohol wipes, gauze, tongue depressors, ultrasound gel, paper towels, face towels, face wash, and headbands., • Charge all electronic devices, such as iPads, payment terminals, and camera lights., • Clean and cover exam chairs with disposable sheets as needed., • Ensure mirrors are spotless, goggles and device handpieces are sanitized, and floors are free of trash., • Keep cabinets organized, tidy, and well-stocked with supplies., • Oversee beverage selection, including bottled water, espresso, barley tea, and pressed juices, ensuring they are available and well-stocked. 2. Client Experience: • Greet clients warmly and ensure they are comfortable throughout their visit., • Offer clients beverages such as bottled water, espresso, barley tea, or pressed juice., • Escort clients to the appropriate treatment room and verify the purpose of their visit., • Provide new patient intake forms and prepare consultation materials, including face charts., • Address minor client concerns and assist with scheduling needs, escalating complex issues when necessary. 3. Administrative and Team Support: • Support the Manager with operational tasks and ensure smooth day-to-day office functionality., • Assist practitioners with treatment preparation and other tasks as needed., • Communicate operational needs and updates to the Manager., • Maintain and update an office manual or checklist to ensure consistency in daily operations. 4. General Maintenance: • Ensure all areas, including restrooms and common spaces, are clean and stocked., • Restock the product shelves throughout the day to ensure a polished and professional display., • Maintain a professional, polite, and respectful demeanor with clients and team members., • Dress in a classy and elegant manner suitable for a luxury med spa environment., • Proven experience in an administrative or operational role, preferably in the beauty, wellness, or medical spa industry., • Exceptional organizational skills with a strong attention to detail., • Ability to multitask and prioritize in a fast-paced environment., • Proficiency with office software and scheduling tools., • Familiarity with skincare and med spa treatments., • Experience managing inventory and supplies., • Competitive salary based on experience., • Access to complimentary treatments and employee discounts., • Opportunities for professional growth within Skin 22 Concierge Skin.
