Job DescriptionDescription: Job Title: Administrative Assistant - Home Care Agency - Bilingual (Spanish - English) Location: Las Vegas, NV Job Type: Full-Time / Part-Time Job Description: We are seeking a highly motivated and organized Administrative Assistant to join our Home Care Agency team. The ideal candidate will provide essential administrative support, ensuring that daily operations run smoothly and efficiently. This role is integral to the success of our agency, which provides compassionate in-home care for individuals in need. The Administrative Assistant will work closely with office staff, caregivers, and clients to maintain organized records, manage schedules, and assist with various clerical tasks. Responsibilities: Client Coordination: Answer phone calls and emails, respond to inquiries, and assist clients and families in scheduling services. Scheduling & Calendar Management: Coordinate appointments, home visits, and caregiver schedules. Ensure the correct allocation of caregivers based on availability and client needs. Document Management: Maintain client files, including medical records, care plans, and other required documentation. Ensure all records are up-to-date and comply with industry regulations. Data Entry: Input and update client and caregiver information into the agency's management system. Billing & Invoicing: Assist with the preparation of client billing, insurance claims, and payment processing. Communication & Support: Serve as a liaison between clients, caregivers, and family members, providing updates on care plans and addressing concerns. Office Organization: Maintain a clean and organized office, including ordering supplies and managing office equipment. General Administrative Support: Assist with a variety of administrative tasks, including filing, mailing, and correspondence. Requirements: Qualifications: Education: High school diploma or equivalent required. Associate’s degree or higher in Business Administration, Healthcare Administration, or related field preferred. Experience: At least 1-2 years of administrative experience, preferably in healthcare, home care, or a related field. Skills: • Strong organizational skills and attention to detail., • Excellent communication skills, both written and verbal., • Proficient in Microsoft Office Suite (Word, Excel, Outlook)., • Ability to handle sensitive information with confidentiality and professionalism., • Strong multitasking and time-management abilities., • Knowledge of home care industry regulations is a plus.

Job Description Customer Service Handle customer questions and information requests Set up customer agreements in transaction system Take customer orders and schedule shipments Coordinate customer orders with marketing and production staff Maintain and utilize knowledge of carrier capability/availability/reliability and freight rates If applicable, arrange transportation for customer shipments including daily dispatching Monitor shipped volumes relative to contract volumes and customer credit Review daily transaction documents for completeness and accuracy Resolve billing inquiries with customers and accounting staff Production Support Enter receipt, shipment, & production data into transaction system Track inventory levels and order in raw materials where appropriate Handle administrative tasks and record keeping for product certification and regulatory compliance Assist with reconciliation of book to physical inventory Process invoices for payment and check requests, resolve issues with Accounting Be involved with or assist with the facilities driver certification process, contractor orientation, visitor sign-in Office Management Manage business information flows-internal reports, notices, etc. Handle mail & shipping/receiving for office and shipping product samples for plant Receive and direct visitors Maintain hard & electronic files for transactions, production, compliance, etc. Maintain employment postings, business licenses and other postings required by law Maintain IT accounts, computer equipment, and office machines Purchase office supplies and services Maintain office housekeeping Maintain office emergency response information & supplies -1st aid station, postings, materials If applicable, process hourly timecards and submit to Payroll If applicable, help organize and manage promotional information and material for Marketing Email your resume, No Walk-ins or Phone Calls will be accepted.
