Veterinary Billing & Medical Records Coordinator. Garden State Veterinary Services (GSVS) is looking for a detail-loving, people-friendly pro to join our Specialty & Emergency Hospital in Woodbridge, NJ! Who We Are GSVS is a busy, multi-specialty practice with boarded experts in cardiology, surgery, neurology, internal medicine, radiology, and critical care - plus access to oncology, ophthalmology, dermatology, radiation therapy, and more. Position Summary The Billing & Medical Records Coordinator plays an important role in supporting the hospital's financial accuracy, medical records processes, and client experience. This position requires strong attention to detail, comfort with billing and records workflows, and the ability to communicate professionally with clients regarding estimates, balances, insurance claims, payment questions, and medical record requests. This is not a traditional front-desk CSR role, but it does include regular client communication and coordination with clinical teams. Key Responsibilities • Audit inpatient, discharge, employee, and external billing for accuracy, • Verify charges, correct discrepancies, and finalize invoices, • Communicate with clients regarding estimates, deposits, billing updates, insurance claims, balances, payment policies, and financial questions, • Support accounts receivable activities, including payment plans, collections coordination, and outside agency communication as applicable, • Ensure fees, product codes, and charges align with hospital fee schedules and established processes, • Process insurance claims, follow up on claim status and payments, and document updates appropriately, • Reconcile payments, billing portals, and vendor invoices, • Support medical records tasks, including scanning, documentation, record requests, confidentiality, and record management, • Assist with hospital email and administrative support functions as needed, • Help support consistency in charge entry and payment protocols, • Provide professional, compassionate, and service-focused support to clients and team members, • Veterinary hospital experience required, • Specialty and/or emergency veterinary experience strongly preferred, • Previous experience in billing, accounts receivable, insurance processing, client service, or medical records preferred, • Strong customer service and communication skills, • Highly detail-oriented with strong accuracy in billing, records, numbers, and data entry, • Microsoft Excel experience required, • Experience with veterinary practice management software, including ImproMed, preferred, • Ability to multitask and remain organized in a fast-paced environment Perks & Benefits • Competitive pay, • Health, dental & vision (some plans 100% paid!), • 401(k) with match, • Paid time off + parental leave, • Mental health support (Talkspace), • Uniforms & pet care discounts Sound like your kind of place?
