Location: New York City, New York • Lead the implementation, evaluation, and monitoring of evidence-based, quality improvement programs for the Addressing the Burden of Childhood Asthma in New York State grant. POSITION OVERVIEW The Program Administrator of Substance Use Disorder Services is responsible for the administrative oversight of the OASAS certified 822 Comprehensive Integrated Outpatient Treatment Program. The program serves adults who have a primary substance use disorder diagnosis and those diagnosed with co-occurring substance use and mental health disorders. In collaboration with the Senior Administrator of Outpatient and MAT programs, the Program Administrator will ensure that her/his programs are accessible, effective, and compliant with all applicable regulations, guidelines, policies, and procedures and financially sustainable. As part of the management team, the Program Administrator will actively participate in the integration of behavioral healthcare services including the development and sustainability of a comprehensive, patient centered, trauma informed recovery model. Position Summary Reports to: Design Build Director Working in close collaboration with the Design Build Director and core project team, the Commercial Manager will provide guidance and leadership to develop, implement, and drive contract/claim management and risk mitigation strategies by business objectives. Here's what you'll be doing: SIS Operations & Support (35%) • Serve as primary Tier 1-2 support for student information systems across all regions and multiple platforms (PowerSchool, Focus, DeansList), • Resolve daily tickets (login issues, configuration issues, grade audits, custom configurations) and lead rtouine protocols like report card cycles, school scheduling and executing start-of-year and end-of-year system processes, • Serve as administrator for rostering and app integration platforms in Clever, and work closely with the Teaching & Learning team to coordinate successful configurations, troubleshooting integrations between SIS and instructional tools, • Ensure all platforms are ready for the first day of school, • Serve as the central support gatekeeper for the Data team: monitor, triage, and route all incoming requests via Zendesk and project intake protocols., • Handle Tier 1 support across survey platforms, performance management tools, recruitment data, and data dashboards., • Support data compliance reporting across KIPP Foundation, state reporting, federal submissions (CRDC, CSGF), grants compliance, and state testing coordination., • Create and maintain knowledge base articles and help guides for support and business processes, • Identify patterns in support requests and propose scalable solutions - macros, templates, self-service resources, AI chatbots., • Innovate with AI-assisted support initiatives.Qualifications Must Haves: • Hands-on experience managing or administering student information systems in a K-12 environment including direct experience working in PowerSchool (or comparable SIS such as Infinite Campus, Skyward, Aspen), • Experience supporting student data systems in a K-12 school or district environment, • Familiarity with enrollment, scheduling, attendance, grading, and compliance reporting, • Systems experience:, • Instructional tech platforms: Working knowledge of rostering and integration platforms, and familiarity with common instructional tools and SIS integrations., • Data fluency: Strong understanding of data quality principles, relational database concepts, and how data flows between interconnected systems., • Support orientation: Proven experience providing technical support to non-technical users — explaining complex issues simply, de-escalating frustration, following through on resolution., • Communication: Excellent written communication for both technical documentation and stakeholder-facing updates. Comfortable writing help guides, process docs, and clear ticket responses., • Self-management: Ability to independently manage a high volume of varied tasks, prioritize across competing demands, and meet cyclical deadlines (first day of school, end of year, report card cycles, compliance windows)., • 2+ years in a K-12 school operations, data, or technology role, • Experience with Zendesk or similar ticketing systems, • Familiarity with Google Workspace administration, • Exposure to SQL, Python, Tableau, or data visualization tools, • Experience with compliance reporting in NJ or FL state contexts, • They've been the person at a school who "just figures things out" with data and technology, • They can context-switch between a detailed SIS configuration and a quick message to a frustrated school ops lead without losing quality on either, • They see patterns in support tickets and think about root causes, not just one-off fixes, • They're genuinely curious about AI and how it can make support workflows more efficient, • They understand that in a fast-growing org, good documentation is a superpower Additional Information The salary range for this role is $75,000 - $95,000. Salary ranges at KIPP are set based upon the role level and function using benchmarks in the education and non-profit sector and allow for growth within the role. Job DescriptionI. Primary Purpose Reporting to the Senior Director of Finance (“Senior Director”), the Controller is responsible for the oversight of accounting and financial reporting. The Controller will be a crucial contributor to the financial leadership of Spence-Chapin. The Controller will work closely with the Senior Director and will lead the day-to-day accounting operations of Spence-Chapin. The Controller has functional responsibility for accounting operations including accounts payable, accounts receivable, payroll, budgeting and financial reporting for the organization’s budget of $9MM -$11 MM. The Controller supervises a team of 2 staff members. This position is based in New York, New York. Spence-Chapin currently requires staff to work onsite for a minimum of four days per week after completing one year full of employment. Key Performance Indicators • Oversee all accounts, ledgers, and reporting, ensuring compliance with appropriate GAAP accrual accounting standards, regulatory requirements, and management reporting efficiency., • Manage and execute the month-end and year-end closing process, including reconciliation of accounts and maintenance of accounting schedules., • Prepare monthly rolling cash-flow forecasts and track investment portfolio to ensure adequate liquidity for operational needs., • Oversee relationships with banking and merchant services providers., • Analyze financial data and prepare and present financial reports in an accurate and timely manner; clearly communicate monthly, quarterly and annual financial statements; monitor progress and keep Director abreast of organization’s financial status., • Prepare financial reporting for grant agreements, working closely with program team on expenditures and budgets., • Track restricted and unrestricted funds according to underlying agreements., • Lead the budgeting and financial reporting function for the organization working closely with leadership across all functions as a business partner., • Ensure proper maintenance of all accounting systems and functions and ensure the fidelity of data and timely monthly, quarterly, and year-end reporting., • Manage the payroll function ensuring timely and accurate processing and recording of all employee pay, benefits, taxes and fees., • Work directly with the Director to ensure the full coordination of Spence-Chapin’s fiscal audits and the gathering of required audit information, resulting in the production of accurate and timely financial statements, IRS 990 preparations, and clean financial audits., • Maintain continuous lines of communication with team and keep the Director informed of all accounting issues., • Identify and drive the organization to achieve the most efficient possible team structure, documenting processes and developing/evolving systems where necessary., • Regularly evaluate the systems of internal control as Spence-Chapin continues to grow and evolve and identify and report any gaps along with recommended improvements., • Drive the organization’s technological advancement of its accounting systems and processes to maximize impact and efficiency., • Work directly with the Director and other leadership members to ensure financial operations are aligned with the organization’s strategic goals., • Supervise and mentor direct reports, utilizing an empathetic and supportive leadership style to maintain a high level of performance across the department. III. Education & Experience • Minimum of 5 years of progressively responsible accounting and/or auditing experience; experience in the nonprofit sector strongly preferred., • Minimum of 3 years of experience managing teams., • Public accounting experience is desirable but not required., • Ability to work on multiple projects at once without sacrificing quality., • Bachelor’s degree in accounting, finance or business administration. IV. Technical Skills • Thorough understanding of Generally Accepted Accounting Principles (GAAP) and Financial Accounting Standards Board (FASB) pronouncements., • Up to date on nonprofit expertise regarding audit best practices and state and federal law regarding nonprofit operations., • Knowledge of financial compliance and risk management including but not limited to statutory and regulatory requirements for nonprofit organizations., • Experience with QuickBooks Online, Excel, MS Office (Word, PowerPoint, Outlook), payment processing platforms (Stripe), expense reporting applications (Zoho Expense)., • Experience with Raiser’s Edge or similar CRMs preferred.
