The Role In One Sentence You'll be the central nervous system for a creative entrepreneur running real estate development, two nonprofits, and an angel investment portfolio—orchestrating complex schedules, triaging communications, managing household and childcare logistics, tracking finances, and ensuring nothing important gets dropped while fiercely protecting personal and family time. Who You'll Support I'm a creative entrepreneur with a background spanning fine arts, food, and publishing. I studied for an MFA at CalArts, have a Masters in Food Studies from NYU, and a BA in Fine Art and History from the University of Montana. I founded and direct Montez Press Radio (2018-present) and Montez Press (2015-present), and previously owned a food business for a decade. I'm also a micro angel investor and developing real estate across five locations (NY, Maine, Montana, UK, Italy). I'm a single mother to a three-year-old, deeply committed to wellness (kundalini yoga, hot yoga, Peloton, healthy eating)—I hold multiple yoga teacher training certifications—and protective of creative time for music (vocal training, piano, music production) and personal practices like tarot and astrology. My life is complex by design—and I need someone who sees that complexity as an interesting puzzle rather than chaos to be survived. You'll be my primary support person, with potential to work alongside additional specialized team members as we grow. What You'll Own Calendar Mastery (30%) • Own the complete calendar—no meeting gets scheduled without your orchestration, • Integrate business meetings around protected personal time (wellness, family, creative practice), • Navigate competing priorities: Montana permit deadline + daughter's school event + board meeting, • Build buffer time for real estate negotiations and creative work, • Anticipate conflicts three moves ahead, • Coordinate long-distance relationship logistics (CA partner visits, travel planning) Communication Hub (25%) • First responder to all email across personal and business accounts, • Achieve inbox zero daily through ruthless filtering: immediate attention vs. wait vs. handle entirely, • Draft responses for routine queries (vendors, meeting requests, donor communications, parent-teacher), • Flag urgent items with full context so decisions can be made quickly, • Manage communication with co-parent (scheduling handoffs, logistics—not emotional navigation), • Handle household and business vendor communications Childcare and Household Coordination (20%) • Communicate with and schedule babysitters and childcare providers, • Coordinate backup childcare coverage for travel, evening events, or unexpected needs, • Manage co-parent handoff logistics (timing, location, communication), • Coordinate daughter's school communications, activities, and scheduling, • Communicate with and schedule dog walker; arrange backup coverage as needed, • Coordinate with cleaning service, home maintenance vendors, and household service providers, • Build and maintain relationships with trusted childcare and household vendors Financial Tracking and Payments (15%) • Ensure all invoices are paid on time—personal and business, • Track and process payments to contractors, vendors, childcare providers, and service providers, • Prepare weekly spending reports for both personal and business expenses, • Flag unusual expenses or budget concerns proactively, • Maintain organized records for tax preparation and bookkeeper handoff, • Track subscription renewals and recurring payments Project Oversight and Integration (10%) • Maintain master tracker showing status across all domains (real estate, nonprofits, investments), • Follow up on outstanding items: contractor deliverables, permit timelines, board meeting prep, • Escalate issues that need principal decision-making with clear options and recommendations, • Prepare weekly briefing: what's coming, what needs attention, what's been handled, • Keep real estate license coursework on track—monitor deadlines and requirements AI & Systems Optimization (Emerging Priority) • Use AI to accelerate drafting, research, and workflow execution, • Implement Claude Code or similar tools to support automation and process optimization, • Identify opportunities to reduce friction and increase leverage through systems design Success Looks Like • Zero missed meetings or double-bookings (business OR personal), • Inbox zero achieved daily across all accounts, • Principal spends less than 30 minutes on email daily, • Wellness commitments happen 4-5x/week (never sacrificed to work fires), • Childcare is always covered—no last-minute scrambles, • All invoices paid on time; no late fees or missed payments, • Weekly spending reports delivered consistently, • Principal has mental bandwidth for strategic decisions because operational details are handled You're Ideal If You • Have 5+ years supporting executives in complex, multi-domain environments, • Have strong experience with Notion, Asana, and/or Obsidian as system hubs, and be actively expanding your fluency across multiple AI platforms, • Expanding knowledge of implementing Claude code for optimization and automation on multiple AI platforms, • Thrive on variety—real estate one hour, nonprofit donor call the next, then childcare scheduling, • See personal life management as foundational, not secondary to "real work", • Have experience managing household logistics, childcare coordination, or family office operations, • Are comfortable with financial tracking, invoice processing, and expense reporting, • Make excellent judgment calls about what needs escalation vs. handling independently, • Communicate proactively—you share updates before being asked, • Are comfortable with ambiguity and can create structure where none exists, • Have a genuine interest in wellness and understand its role in sustainable high performance You're Not a Fit If You • Need rigid 9-5 boundaries (some weeks will require evening flexibility for time zones or childcare emergencies), • View personal scheduling or childcare coordination as "beneath" executive assistant work, • Require detailed instructions for every task, • Have only supported single-focus executives in corporate environments, • Are uncomfortable handling financial information or tracking expenses, • Struggle with multiple competing priorities and fast context-switching, • Have multiple roles under 18 months on your resume (I'm looking for a long-term partnership), • Have no experience with Notion, Asana, or Obsidian platforms, as well as AI platforms Compensation and Structure • $45,000-55,000/year ($43-50/hour equivalent), • 18-22 hours/week, flexible scheduling, • Fully remote with occasional NYC in-person (quarterly planning, special events), • Contractor or W-2 available, • Annual review with performance-based increases, • Looking for 3+ year commitment from the right person, • Growth potential: as the team expands, this role becomes the coordination hub To Apply: Send your resume and a brief note explaining why this role interests you. (4) You notice three invoices due this week that haven't been paid yet: the dog walker, a contractor deposit, and the monthly cleaning service.
