The Building Superintendent reports directly to the Director of Facilities Maintenance and Construction and is in charge of complying with all standard operating procedures and policies connected to the maintenance of the physical plant by all City, State, and Federal laws. As the key employee of the building operations, the Superintendent is essential to the longevity of all equipment and the aesthetic nature of the property, interior, and exterior. Job DescriptionJOB DESCRIPTION SUPERINTENDENT: BASIC FUNCTION: An energetic person able to work responsibly and with some independence in maintaining and caring for the building and its systems. REPORTING LINE: Reports to the Assistant Director. Job Description Our Story The West Side Federation for Senior and Supportive Housing, Inc. (WSFSSH) is a community‐based organization whose mission is to provide safe, affordable housing with supportive services within a residential setting which enhances the independence and dignity of each person. WSFSSH develops, manages, and provides housing for low‐ income older persons, many of whom live with mental illness and/or have experienced homelessness. Position Description Under the direct supervision of the Property Manager, the superintendent is responsible for ensuring the overall maintenance functionality and cleanliness of the property while supervising housekeeping staff to ensure all units and common areas are kept in pristine condition for residents and staff. Supervise and manage the porters and housekeeping staff to ensure cleanliness standards are met. This is a full-time position (5) days a week on-site. (Monday - Friday 8am- 4pm/ on- call) Responsibilities Supervision • Coordinate and collaborate with all heads of department (Property Manager, Area Manager, Facilities) to maintain a clean and safe building., • Directly supervise one (1) porter, with the goal of building strong, and solid teamwork, to ensure that required tasks are consistently and fully completed and needs that arise are addressed in a timely, safe, and effective manner, • Ensure that all cleaning, maintenance and custodial work in the building is being done properly and in a timely manner, • Ensure that all tenant work requests are responded to within 24 hours, however, in case of emergency, ensure that the situation is addressed immediately. Documentation The superintendent must submit to management the following: • Written requests for janitorial, maintenance, and repair supplies when needed, • Superintendent Weekly Report with attached completed work request orders, • Daily maintenance log report, • Janitorial supplies inventory list, • Apartment appliance lists with model and serial numbers, • Fire extinguisher and smoke/carbon detector location lists, • Exhaust fan location list, • Provide a weekly heating report and follow up on heat complaints during the heating season months (October 1st-May 31st)., • Report any incidents damages or violations to property manage, • Assist with procurement of cleaning and maintenance supplies, • Maintain accurate records of maintenance and cleaning activities Maintenance • Prepare vacant apartments (within thirty (30) days) for occupancy, • Ensure that Painting, Carpentry, Plumbing, Electrical, Heating, Ventilation and Air Conditioning tasks (repairs, upgrades, cleaning, basic maintenance) are performed in a competent and timely manner, • Maintain grease traps, • Strip and wax floors, as needed, • Perform minor repairs on small appliances, including roof fans, air-conditioners, stoves, refrigerators, etc., • Implement energy and water conservation projects as mandated by owner/management. Equipment • Ensure that all operating equipment is maintained properly and implement procedures in the event of equipment malfunctioning., • Perform preventive maintenance checks on all machinery and report any defects and preventive measures to management; also, monitor, and ensure that proper preventive maintenance tasks are being performed thoroughly as prescribed, and on schedule., • Observe water, electrical meters, and heating/hot water system gauges to ensure proper operation, and report any malfunctions to management., • Liaise with service contractors i.e. (heating system, generator, elevator, compactor, laundry machines, and fire alarm system) when necessary, in case of break-down or emergencies Garbage • Assure proper on-site recycling procedures that the building complies with all mandated recycling programs., • Assure that all staff handling garbage follow appropriate procedures and wear protective attire i.e. goggles, gloves, rubber apron, steel toe boots., • Ensure the proper functioning and cleanliness of the compactors chute., • Ensure that the garbage is bagged properly according to sanitation codes, and that garbage and recycling items are set out for pickup as scheduled. Code Compliance • Assist with all code compliance items, with the goal of maintaining consistent and complete compliance with all code requirements, and company policies, • Provide building access to all Government agencies, accompany them on inspection, and report any issues or deficiencies immediately to management., • Monitor tags on fire extinguishers and any other fire safety equipment and report any deficiencies to management. Building and Grounds • Ensure that all windows and exit doors are clean and free of obstruction. In addition, ensure that doors are self-closing and windows open and close properly., • Ensure that common areas inside and outside the building are smoke free, clean, and free of hazards., • Ensure that areas in front of the building, including sidewalks, are safe and free of graffiti, debris and other hazards., • Ensure that grounds/garden/backyard are clean, well maintained, and free of debris., • Assure that snow removal is done in a timely manner; maintain sidewalks free of ice and slipping hazards. Job Description Building Superintendent The Building Superintendent is responsible for ensuring the overall cleanliness, safety, maintenance, and repair of a DHS long-term shelter facility and its surrounding grounds, including adjacent sidewalks. This position is not a live-in role. The Superintendent will report directly to the Program Director and will be on-call for emergencies five (5) days per week, 24 hours a day, limited to building-related emergencies (e.g., loss of heat or hot water, fire, plumbing or electrical emergencies, etc.). Job Description General Purpose of the Job: Under the supervision of the Program Director at our Lighthouse location in Queens, NY, the Facility Manager oversees all maintenance, janitorial, and capital improvement projects performed by the landlord, which includes the care, cleaning, and inspection of public spaces within the development such as buildings, grounds, and garbage disposal areas, in accordance with established procedures. The Facilities Porter ensures the ongoing functionality and aesthetic of DREAM facilities by supporting the maintenance of all DREAM campuses. The Facilities Porter report to the Senior Facilities Manager. Responsibilities Ensure the school, park, program spaces and office areas are kept clean and well maintained at all times; Perform outdoor maintenance, such as snow removal, salting and park maintenance; Responsible for room and event set up, as determined by staff needs and preferences; Utilize and maintain cleaning equipment, such as buffing machines and floor scrubbers; Assist with daily inspections of school building, park, offices and program spaces, checking for potential disruptions to daily operations, and addressing or reporting them accordingly; Assist with at-need maintenance and cleaning at multiple DREAM locations, and be familiar with maintenance schedules at all facilities; Receive and respond to facilities maintenance tickets; Assist with minor repairs, i.e. painting and patching, plumbing and carpentry repairs, if needed; Respond to building staff requests regarding building operations; prioritize schedules; and assign, plan, and monitor the work through online ticketing system; Help to maintain all required administrative records including, but not limited to, log books, work records, maintenance records, contractor visits, keys issued, etc; Assist in the regular inspection of all areas of the building and report deficiencies as well as suggestions for improvement; Provide excellent customer service to Harlem RBI and DREAM staff; Cultivate a learning and youth focused environment by responding quickly and efficiently to school and program related issues; Attend necessary school meetings to support maintenance management activities as they relate to the school’s schedule; Assist in the execution of a facilities management and preventive maintenance plans; Foster an atmosphere of teamwork among building staff, school staff, and contractors; Responds to requests in a courteous, timely, and highly effective manner; Supports with repairs, maintenance, and continuous operation of all building systems including: fire/life safety, Mechanical (HVAC, plumbing), Electrical (lighting control equipment, bulb replacement, UPS, light construction (painting, doors, locks), digital systems (fire alarm, card access, CCTV security access systems), elevator control, Building Maintenance System (BMS)(DDC), and audio-visual systems, etc. Qualifications High School diploma required or its equivalent A minimum of four years of experience in facilities, construction or maintenance Demonstrate a general knowledge, experience, and proficiency in several areas of maintenance (e.g., plumbing, painting, carpentry, masonry/concrete/tile, window glazing, electrical, mechanical, HVAC and boiler systems, roof repair, plastering/spackling, field/playground maintenance, and furniture repair) Extreme flexibility, with a strong work ethic and an entrepreneurial spirit to accommodate high level of responsibility and multiple priorities Exhibit a personality that demonstrates interpersonal skills to relate well with students, staff, administration, parents and the community Demonstrate the ability to communicate effectively Ability to commute between school sites Create high accountability for one’s self as well as building staff and vendors Any current FDNY certificates of fitness, HVAC or plumbing certifications a plus Excellent organizational and problem-solving skills, and strong attention to detail Commitment to the mission and goals of DREAM Charter School Ability to lift up to 50 pounds and have no difficulty bending, standing, climbing or walking, for short or long periods of time.
