The Administrative Officer will oversee all legal, financial, and compliance matters related to UK laws and regulations for the business. This role ensures that the company remains compliant with local, national, and industry specific regulations while managing key administrative duties related to financial management, legal documentation, and regulatory compliance.
· Key Responsibilities:
  1. Legal Compliance & Documentation:
  • Ensure the company complies with UK laws, including employment law, health and safety regulations, data protection, and industry specific requirements.
  • Draft, review, and manage contracts, legal agreements, and other formal documentation.
  • Maintain updated legal records, licenses, permits, and other regulatory documents.
  • Liaise with external legal counsel when required and assist with legal matters or disputes.
  • Monitor changes in laws and regulations, advising the management team on necessary adaptations to company policies.



  1. Financial Compliance & Reporting:
  • Ensure all financial operations comply with HMRC requirements, including tax filings, VAT returns, and other regulatory financial obligations.
  • Assist in preparing financial reports, audits, and statutory accounts, coordinating with accountants and financial advisers as necessary.
  • Oversee payroll compliance, ensuring deductions and contributions (tax, National Insurance, pensions) are handled correctly.
  • Monitor the company’s financial health by tracking budgets, expenses, cost control, and cash flow in accordance with UK financial regulations.


  1. Corporate Governance:
  • Ensure that the company follows best practices for corporate governance, including compliance with the UK Companies Act, filing annual returns, and updating records with Companies House.
  • Prepare and maintain records for board meetings, shareholder communications, and other corporate governance requirements.
  • Manage the company’s risk register and ensure all risk mitigation policies are followed.

  1. Regulatory & Industry Compliance:
  • Ensure that the company adheres to industry-specific regulations, including licensing, certifications, and accreditation where applicable.
  • Oversee compliance with sector-specific regulations such as environmental health, food safety and trade regulations.
  • Coordinate with regulatory bodies during inspections, audits, or reviews, ensuring full compliance at all times.

  1. Internal Policies & Procedures:
  • Develop and maintain internal policies related to legal compliance, financial management, and regulatory obligations.
  • Ensure that all employees understand and follow compliance procedures, providing training or guidance where necessary.
  • Conduct regular internal audits to ensure ongoing compliance and identify areas for improvement.

  1. Risk Management & Insurance:
  • Oversee risk management processes, identifying potential legal, financial, and operational risks, and implementing mitigation strategies.
  • Manage the company’s insurance policies, ensuring adequate coverage for liability, property, and employee matters.
  • Handle any claims or disputes related to insurance, working closely with brokers and legal advisors as needed.

  1. Relationship Management:
  • Serve as the main point of contact with regulatory authorities, legal advisors, auditors, and financial institutions.
  • Maintain professional relationships with external service providers such as accountants, solicitors, and compliance consultants.
  1. Business Licensing & Permits:
  • Ensure that all necessary business licenses, permits, and certifications are up-to-date and renewed as required by law.
  • Manage the application and renewal process for business operating licenses, food and alcohol licenses, and other industry specific permits.
