Rising Stars has spent 15 years building something special: two thriving nurseries serving diverse North London communities, both Ofsted "Good" rated, with ambitious plans to grow from 2 to 4 sites in 2027. Here's the challenge: Our administrative systems and marketing presence haven't kept pace with our growth. We're running on systems that worked for one site but strain at two, and our social media presence needs a cohesive voice and strong strategy to support our expanding footprint. Documentation can improve, enrollment isn't seamless, and our online engagement needs dedicated creative focus. That's where you come in. This isn't about maintaining someone else's filing system or just making periodic posts. You'll build the administrative infrastructure and drive the marketing engine that allow us to scale—creating templates, documenting processes, crafting compelling visual/written content, and establishing systems that work across multiple sites. What makes this role different: • Real autonomy: Design the admin systems you believe will work best, • Immediate impact: Your first 90 days fixes bottlenecks costing Management time and enrollment delays, • Growth platform: Build systems once, deploy across future sites as we expand, • Variety: Split 50/50 between admin/compliance/enrollment and content creation, campaign management, events, and brand building. Core responsibilities 1. Administrative & Operations Infrastructure (25%) Own the parent journey from first contact to first day: • Manage enrollment enquiries via our custom built system (phone, email, in-person), • Process registrations, contracts and payment setups, • Support with coordinating government funding applications (30-hour, 2-year schemes), • Maintain waiting lists and track conversion metrics, • Create seamless onboarding experience for new families Success looks like: Parents say "that was easy" and Management aren't chasing paperwork. 2. Compliance & Family Onboarding (25%) Build strong systems that pass any inspection: For Children: • Review and organise all registration documentation, • Maintain GDPR-compliant digital filing systems, • Quarterly audits to catch gaps before Ofsted visits, • Update templates and forms as regulations change For Staff: • Maintain HR files (contracts, DBS, qualifications, training records), • Track expiring documents and flag renewals, • Coordinate new hire documentation (right-to-work, references, policies) Success looks like: Zero compliance findings related to documentation in any inspection. 3. Social Media, Content Creation & Campaign Management (30%) Lead social media and digital marketing strategy across channels: • Create visual marketing materials, graphics, and video content for social channels and print, • Develop new marketing concepts, campaigns, and engaging copy tailored to nursery families, • Post consistently across multiple social media platforms (Instagram, Facebook, LinkedIn, etc.), • Manage the social media content calendar to ensure steady, high-quality output, • Build brand identity and define a clear, warm, professional tone of voice, • Lead audience engagement and measure impact through lead conversion and enrollment enquiries, • Proactively gather parent reviews and manage feedback platforms including Google Reviews and DayNurseries Success looks like: A vibrant online presence with measurable growth in parent enquiries, strong positive review ratings, and a consistent, recognizable brand voice. 4. Events Calendar & Event Marketing (20%) • Own and manage the comprehensive nursery events calendar across both sites, • Produce end-to-end promotional and marketing materials for events (flyers, social assets, invitations, signage), • Coordinate key nursery events including Open Days, Grandparents' Day, Christmas celebrations, Coffee Mornings, Easter events, and seasonal themed days, • Track event attendance, gather parent feedback, and evaluate event campaign success, • Ad-hoc support for Head of Nurseries and Directors Essential Requirements Experience & Skills: • Admin experience in professional setting (education, childcare, healthcare, or similar sectors preferred but not essential), • Proven ability to manage documentation and maintain organised systems, • Strong digital skills: Canva/Adobe Creative Suite, social media scheduling software, Google Workspace/Microsoft Office, • Experience running social media channels, copywriting, and managing digital campaigns, • Excellent written and verbal communication, • Ability to work across two sites (Tottenham & Wood Green) with min 1 day, max 2 days on-site per week Personal Qualities: • Detail-oriented without losing sight of purpose - you catch errors AND see process improvements, • Self-directed problem solver - you spot what needs fixing and propose solutions, • Comfortable with growth environment - processes aren't perfect yet; you'll help build them, • Professional communicator - warm with parents, clear with staff, organised with Management, • Culturally aware - our families speak 10+ languages; sensitivity matters Must-haves: • Right to work in UK, • Commitment to minimum 25 hours per week, • Willingness to work across two North London sites (N17 & N22) if necessary, • Basic understanding of safeguarding and confidentiality, • Flexibility to occasionally adjust schedule for urgent deadlines Desirable but Not Essential • Previous early years, nursery, or school administration experience, • Knowledge of Ofsted requirements and EYFS framework, • Experience with nursery management software (Famly, Kinderly, etc.), • Understanding of government funding schemes, • Experience supporting multi-site operations Career returners, sector changers, and candidates without early years experience are encouraged to apply if you have strong transferable admin skills and enthusiasm for the mission. Compensation & Benefits Salary: £26,000 - £30,000 Pro-rata • 3-4 day work week (20-30 hours total), • On-site schedule at Tottenham or Wood Green (minimum 1 day, maximum 2 days per week on-site), • Remaining hours worked remotely for focused admin and content creation, • Exact schedule discussed during interview Benefits: • 28 days annual leave pro-rata, • Workplace pension, • Free parking at both sites, • Professional development budget, • Staff childcare discount (subject to availability) Growth opportunity: As we scale to 4+ sites, strong performers could progress to Operations Manager or similar role overseeing admin across the group. Why Rising Stars? Family business with professional ambition: We combine the warmth of a family-run nursery with the growth mindset of a scaling business.
