Job DescriptionJob Title: Medical Assistant – Pain Management (Back Office) Job Description This Medical Assistant position supports a busy outpatient pain management practice in a back-office role that combines direct patient care with administrative responsibilities. You will room patients, assist the provider with procedures, manage electronic medical records, and help maintain an efficient and organized clinic. This role is ideal for a proactive, outgoing professional who enjoys building ongoing relationships with patients in a fast-paced, high-volume outpatient setting. Responsibilities • Perform patient intakes, including gathering medical history, verifying information, and preparing patients for their visit., • Room patients efficiently and ensure they are comfortable and informed about the visit process., • Assist the provider in direct patient care during office visits and procedures., • Set up examination and procedure rooms with appropriate instruments and supplies before visits., • Break down and clean examination and procedure rooms after visits, ensuring proper handling of instruments and materials., • Measure and record manual blood pressure and other vital signs as needed., • Update and manage electronic medical records (EMR), including inboxes, patient records, and orders., • Scan documents into the EMR system and ensure accurate and timely documentation., • Use the Athena EMR system to update charts, enter orders, and maintain accurate patient information., • Update charts for medications and ensure medication lists remain current and accurate., • Sterilize instruments and maintain proper infection control and cleanliness standards., • Restock examination rooms and supply closets and complete inventory to ensure adequate supplies are always available., • Triage incoming phone calls, addressing physician and patient questions or routing them appropriately., • Support chart preparation and administrative tasks, including calling patients as needed., • Help manage patient flow to keep the clinic running on time in a high-volume environment., • Work as the sole Medical Assistant supporting one pain management provider, taking ownership of both clinical and administrative tasks., • Provide excellent customer service and maintain strong bedside manner with all patients., • Demonstrate integrity and reliability in time management and all aspects of work performance.Essential Skills, • At least 1 year of experience in medical assisting and patient care., • Hands-on experience working in a clinical setting as a Medical Assistant., • Experience using electronic medical records (EMR) systems; Athena or Epic experience is strongly preferred, but other EMR experience is acceptable., • Ability to perform manual blood pressure measurements accurately., • High school diploma or GED., • Proven ability to work effectively in a fast-paced, high-volume outpatient environment., • Experience with chart preparation and administrative calling tasks in a medical office., • Strong customer service skills and a professional bedside manner., • Ability to multitask and manage patient flow efficiently., • Proactive, outgoing, and hardworking approach to daily responsibilities., • Strong problem-solving skills and the ability to adapt to changing priorities., • Demonstrated integrity and reliability, including responsible use of time and adherence to workplace expectations., • Comfort working as the only Medical Assistant supporting a single provider.Additional Skills & Qualifications, • Certified Medical Assistant credential preferred but not required., • Experience in pain management or orthopedics is preferred., • Prior experience with Athena and/or Epic EMR systems is highly valued., • Ability to balance approximately 50% hands-on clinical work with 50% administrative tasks., • Strong interpersonal and communication skills with a confident, professional personality., • Interest in building long-term relationships with patients seen on a recurring basis (such as quarterly or biannually)., • Desire to grow within a large, multi-location healthcare organization with future internal opportunities.Work Environment This role is based in an outpatient pain management practice with a fast-paced, high-volume schedule. The provider typically sees 20–25 patients per day, with slightly lighter volume on Mondays. The position follows a Monday–Friday schedule. On Monday, Wednesday, and Thursday, hours are approximately 7:45 a.m. to 5:00 p.m. in Florham Park. On Friday, hours are approximately 7:45 a.m. to 4:30 p.m. in Florham Park. On Tuesday, the schedule runs roughly 7:45 a.m. to 4:30 p.m., with the morning spent in one nearby office location and the afternoon in another office just across the street. There may be occasional Saturday shifts if the physician adds clinic hours. The work involves a blend of about 50% direct, hands-on patient care (such as rooming patients and assisting with procedures) and 50% administrative tasks (including EMR documentation, chart prep, and phone triage). You will use electronic medical record systems, particularly Athena and potentially Epic, along with standard medical office equipment and sterilization tools. The environment emphasizes efficiency, professionalism, and strong patient relationships, as many patients are seen repeatedly over time. Professional clinical attire appropriate for an outpatient medical setting is expected. Job Type & Location This is a Contract to Hire position based out of Florham Park, NJ.
