Job Description Office Operations Manager Pay: $24.00 – $32.00/hour (based on experience) Location: In-person only - 1770 Erie Blvd W, Syracuse, NY 13204 Schedule: Monday - Friday Overview: Mr. Rooter Plumbing of Greater Syracuse is seeking an experienced, organized, and hands-on Office Manager The Office Manager is responsible for ensuring the smooth and efficient operation of the office while overseeing administrative processes, team support, and key automation systems. This hands-on role combines traditional office management with modern workflow automation to improve productivity and reduce manual work. Key Responsibilities • Manage and maintain Service Titan scheduling software, • Oversee and optimize office automations and workflows, • Manage tasks and projects using Teamwork task manager, • Provide direct support to the team and leadership, • Handle office supplies, vendors, and facility needs, • Train staff on all software systems and troubleshoot issues, • Assist with basic HR tasks including onboarding and time tracking Customer Experience & Service Coordination • Oversee day-to-day office operations and administrative workflow., • Support management and field teams to ensure jobs are scheduled, completed, and invoiced efficiently., • Maintain accurate documentation, organize service records, and ensure compliance with company policies., • Identify and implement process improvements that enhance office efficiency and customer satisfaction. Human Resources Administration • Manage employee records, benefits enrollments, and compliance documentation., • Help administer payroll and coordinate with our accounting team to ensure accuracy and timeliness., • Handle worker’s compensation claims, FMLA, and other HR-related matters professionally and confidentially., • Assist with recruitment, onboarding, and employee development tracking., • Support leadership with performance reviews and personnel updates. Financial & Accounting Support • Oversee billing, accounts receivable/payable, and daily reconciliations., • Maintain and manage accounting records in QuickBooks Online (QBO) — QBO experience is preferred., • Review and process vendor invoices and expense reports., • Assist with reporting, budgeting, and financial tracking for management review. Leadership & Communication • Supervise and support office staff, providing guidance and feedback., • Foster a positive, collaborative, and professional work environment., • Communicate effectively across departments to ensure alignment and problem resolution., • Act as a liaison between office operations and field teams to maintain smooth communication. Qualifications: • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration or related field preferred., • 3+ years of office management or administrative leadership experience; plumbing, trades, or service industry background preferred., • Previous HR experience is required, including benefits administration and worker’s compensation., • QuickBooks Online (QBO) experience is preferred — daily use and comfort with full-cycle bookkeeping., • Ability to type at least 40 WPM, • Proficiency with Apple products, including Mac desktops and iPads, • Adept at handling phone calls, scheduling, and utilizing customer management systems and modern office software with ease., • Excellent communication and interpersonal skills., • Strong organizational, multitasking, and problem-solving abilities., • Ability to learn quickly and to work both independently and collaboratively., • Must be flexible, adaptable, and able to maintain a sense of humor under pressure., • High attention to detail, accuracy, and accountability., • Ability to lift up to 35 lbs., • Valid driver’s license and reliable transportation required.
