Job Description Administrative Assistant / Client Service Trainee Ference-Gray Insurance Brokerage LLC, Port Chester, NY, USA • On-site The Opportunity We are a rapidly expanding insurance agency searching for a highly detail-oriented and personable Administrative Assistant to join our team. This role is not just an administrative position—it is a formal career path opportunity to train and transition into a licensed Account Executive (a salaried, internal client service position). You will learn the insurance brokerage business from the ground up while providing essential support that ensures our agency runs smoothly and our clients receive exceptional service. Key Responsibilities (Administrative & Client Support) You will be the organizational backbone of our office, handling critical day-to-day operations and directly supporting the Owner and the team. • Client Communication Hub: Manage incoming phone calls and emails, efficiently directing client inquiries to the appropriate team member., • Document Processing: Accurately and timely process high-priority paperwork, including:, • Certificates of Insurance (COIs) and ID Cards, • Motor Vehicle Reports (MVRs), • Endorsements, New Business, and Renewal policy documents., • System Management: Update and maintain our Agency Management System (AMS) to ensure data integrity and organizational efficiency., • Billing Resolution: Resolve client billing inquiries in a professional and effective manner., • Office Operations: Handle general office tasks, including filing, purchasing office supplies, and scheduling maintenance for office equipment., • Strong Communication: Excellent Verbal and Written communication skills are required for professional interaction with clients and insurance carriers., • Organizational Mastery: Possess very strong organizational skills and a meticulous, detail-oriented work style., • Tech Proficiency: Excellent computer skills, including strong proficiency in Microsoft Outlook, Word, and Excel., • Self-Starter Energy: Must be a self-starter with a positive, problem-solving energy who can work independently., • Growth Track: This position offers a direct path to transition into a licensed Account Executive (a high-value, inside client service role).
