Project Opportunity We are looking for a Document Control Specialist to join our FCC Team assigned to the MTA’s Second Avenue Subway Project. This position is based in New York, NY, and requires daily presence in the office and/or on construction sites. The MTA’s Second Avenue Subway project is a $7.7B expansion that will extend the Q Line from 96th Street into East Harlem, adding three new ADA-accessible stations at 106th, 116th, and 125th Streets. This long-awaited project will restore rapid transit access to a community underserved for decades, ease overcrowding on the Lexington Avenue line, and cut commute times—delivering a transformative impact for East Harlem residents and the city as a whole. This position will support the $2 billion design-build contract for Phase 2, which includes two tunnels that will enable the development of two new subway stations in New York. Led by Connect Plus Partners, a joint venture between FCC Construction and Halmar International, the project brings together extensive experience in large-scale infrastructure, complex tunneling, and urban transit construction. Position Summary Reports to: Document Control Manager The Document Control Specialist is responsible for managing the flow, accuracy, and security of project documentation across multiple disciplines. This role coordinates the registration, distribution, and archiving of technical documents, drawings, and correspondence, ensuring compliance with project procedures and client requirements. The specialist will support project teams by maintaining electronic workflows, monitoring document quality, and ensuring timely processing and distribution of all records. The Document Control Specialist’s key responsibilities are: • Coordinate all activities related to the Document Control procedure (registration, uploading, transmitting) including technical documents, drawings, and commercial correspondence., • Work with an Electronic Document Management System which will be used to register, organize, maintain, issue, and distribute the project plans, documentation, drawings, and records., • Prepare and maintain up-to-date control records, documenting receipt of service requests, document and revision number, original distribution, revised distributions, and transmittal dates., • Track, issue, distribute, and manage requests for information, change notifications, deviations, etc., • Receive, register, organize, and maintain project documentation relating to design, quality, procurement, construction, commissioning, and operations., • Adhere to the project document numbering system, document templates, processes, procedures, and workflows., • Follow up with all discipline personnel for action items., • Ensure document data accuracy in compliance with implemented procedures and policies., • Maintain confidentiality around sensitive information and terms of agreement., • Manage the flow of documentation within the organization and with external project entities., • Retrieve files as requested by individuals from different disciplines., • Create and manage electronic workflows., • Review document quality and proactively address issues., • Collaborate with other documentation teams to ensure consistency and efficiency., • Prepare ad hoc reports on projects as needed., • Ensure that documents are authorized, issued, and distributed correctly in a timely manner., • Support the project’s paperless (EDMS) systems for the storage, distribution, and retrieval of documentation and records., • Coordinate construction documentation preparation, RFIs, interim/final submission, track progress on document status, and follow up on the company forms and compliance documentation., • Assists in providing training and support to new project team members on document control practices., • Identify and escalate system or processing issues to the Document Control Manager in a timely manner., • Ensure high accuracy in capturing metadata in both project and client EDMS systems in accordance with reporting and auditing requirements., • Meet established turnaround times for processing and distributing documentation., • Assist in conducting internal audits and inspections to ensure department work is performed correctly, efficiently, and cost-consciously., • Assist with post-construction document archival and retention in alignment with Project Agreement specifications., • Bachelor’s degree or college diploma in document management, engineering, or a related discipline; equivalent experience considered., • Minimum 5 years of document control experience in a construction or site-based project environment., • Proficiency in electronic document management systems (e.g., Aconex, Unifier, Autodesk Construction Cloud, Procore, SharePoint), Bluebeam, and MS Office Suite., • Familiarity with engineering terminology, project documentation standards, and electronic drawing formats., • Strong organizational skills with high attention to detail and proven ability to meet deadlines in a fast-paced environment., • Experience in various electronic drawing file formats., • Solid understanding of project documentation and engineering terminology., • Ability to document work tasks (e.g., work instructions), • Work is primarily office-based with extended periods of computer use for document processing, quality checks, and reporting., • Requires the ability to sit, type, and review large volumes of electronic and hardcopy documentation with accuracy., • Must be able to lift and carry files, boxes, or office equipment weighing up to 20 lbs., • Requires strong visual acuity for reviewing detailed documents and drawings.
