SUMMARY OF DUTIES This is an onsite Executive Assistant role to the CEO of one of the nation’s leading health company which is fast growing and entrepreneurial. The Ideal candidate MUST have experience as a C-suite executive assistant in entrepreneurial and or a large corporate environment. Executive Assistant will be reporting directly to the CEO providing executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters. The Executive Assistant must be creative and enjoy working within the entrepreneurial environment that is mission-driven, results-driven and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. The ideal candidate will provide top-level assistance for high level executives. They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations. ESSENTIAL FUNCTIONS • Oversee strategic business initiatives from development through successful execution under the guidance of the CEO and senior leadership, • Completes a broad variety of administrative tasks for the CEO including: managing an extremely active calendar of appointments; composing and preparing correspondence that is confidential; arranging travel plans; generating correspondence, maintaining hard copy and electronic files, planning and coordinating annual corporate meetings, and managing building management tasks and issues itineraries, and agendas., • Improve current processes and coordinate organizational procedures for optimized efficiency and productivity, • Organize and coordinate staff functions and activities, • Successfully completes critical aspects of deliverables with a hands-on-approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the company., • Manage company calendar and ensure deadlines are being met, • Be a liaison for staff, chief executives, department leaders, and CEO, • Assist CEO with internal communication in addition to partnering with the Director of Human Resources to attend to staff needs, ensuring any problems are resolved, • In conjunction with the Director of Human Resources, keep CEO abreast on current company climate (employee wellbeing, project statuses, new proposals, etc.), • Attend executive meetings as requested by CEO and deliver progress reports, • Serve as liaison between staff, executives, senior leaders, and CEO, regarding company climate, employee well-being, project updates, proposals, and planning, • Assist the human resources department with new hires, including documentation and onboarding, and collaborate to address and resolve all employee concerns, • Build and develop relationships with all employees for increased efficiency and effective responsiveness into existing operations, and help to define new operational strategies, working with CEO and executives on special projects, • Serve as a subject matter expert, handling inquiries and developing action plans to address them, and assisting with the preparation and dissemination of communications, • Prioritizes conflicting needs; handle matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. KNOWLEDGE, SKILLS AND ABILITIES • Must have strong work tenure: five to 10 years of experience supporting C-Level Executives in an entrepreneurial and or a large corporate environment., • Must have advanced proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms, • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail, • Highly resourceful team-player, with the ability to also be extremely effective independently, • Strong project reporting skills, with a focus on interdepartmental communication Ability to problem-solve operational issues, • Ability to work autonomously in a fast-paced environment, • Ability to maintain a high level of integrity and discretion in handling confidential information., • Strong analytical and negotiation skills, • Strong verbal and written communication skills, • Strong interpersonal skills and an ability for productive collaboration across varying departments, • Possess an encouraging, can-do attitude, • Impeccable time management and multi-tasking skills, • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment, • Proven problem solver who can make clear-headed decisions while under pressure, • Highly experienced with project coordinating and management, • Emotional maturity, self-motivated and self-sufficient, • Forward looking thinker, who actively seeks opportunities and proposes solutions, • Ability to switch gears at a moment’s notice.
