Job Description Job Title: Temporary Administrative Assistant Effective Date: April 5, 2023 Department: Fine and Performing Arts (FPA) Division: School of Communication and Fine and Performing Arts Supervisor: FPA Chair Schedule: Temp- Hourly, hours may var FLSA Classification: Non-exempt IPEDS Classification: 43 EEO: Administrative Support Job Summary: Supports the Fine and Performing Arts Department Chair and faculty in those departments (art, music, theatre, and arts administration) by serving as administrative support in all phases of work in the department. Duties/Responsibilities: This job description is not to be construed as an exhaustive statement of duties or responsibility requirements. Employees may be required to perform other job-related instructions as requested by the supervisor, subject to reasonable accommodation. • Responsible for all administrative support to the department chairs and faculty in art, music, and theater., • Provide general office assistance (i.e. process mail, coordinate departmental mailings, answer phone, provide information and assistance to all constituents, order supplies, and serve as a liaison for department events)., • Assist with budget operations including reconciling credit card statements, processing PO’s, deposits, forms, etc., • Maintain piano rotation tuning lists and request ongoing piano tuning for all pianos in Mabee Center., • Submit registration information and organize juries for students taking applied music lessons. This includes the master schedule, forms, and tracking results and levels achieved by music majors/minors., • Coordinate all phases of Music Activity Grant Auditions and theatre auditions and submit registration for freshmen receiving music activity grants. Maintain list of Music Activity Grant recipients and confirm each student is meeting grant requirements. Track attrition of music grant recipients., • Work with Office of Development and Alumni Relations to ensure timely and accurate reporting of donor gifts and send follow-up correspondence to donors., • Coordinate all details of special events (i.e. Vespers, Peter and the Wolf, etc.). Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. • Excellent computer skills and proficient in the use of all components of Microsoft Office; good design capability, and prior web experience helpful; interest in continual acquisition of skills., • Ability to use a copy machine., • Excellent written communication and proofreading skills and attention to detail., • Ability to maintain confidentiality of all materials handled and seen in process of performing job responsibilities., • Ability to have neat professional appearance for greeting students, faculty and campus visitors., • Ability to handle stressful situations in a calm, orderly, and accurate manner, to complete work on time and to deal with the public., • Ability to work independently in order to organize and prioritize workload., • Analytical skills are necessary for maintaining records and preparing reports., • Understanding of program deadlines and the academic process related to the programs of the department., • Ability to prepare reports, business correspondence, and procedure manuals., • Ability to interpret a variety of instructions furnished in written, verbal, diagram, or schedule format., • Ability to be creative and flexible. Directly supervises student staff. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
