Job Description EXECUTIVE ADMINISTRATIVE ASSISTANT - Part Time The Executive Administrative Assistant will provide day-to-day support to the CEO. This role will also support other team members as delgated from the CEO. We are seeking a passionate, organized, and proactive Executive Assistant to join our team to help us further our impact. KEY RESPONSIBILITIES: Providing Executive Support to the CEO keeping the office organized, details filed, certifications up to date and helping the CEO keep up to a rapid pace. The primary responsibilities in this role will be to assist the CEO in areas that not only keep the CEO focused, but on target and not letting loose ends fall through. In addition, making sure the CEO is staying on top of timelines and responding to clients. This role will also help to provide solutions to assist with project teams, sales reps as well as national and global contractors. Manage outlook calendars, schedule meetings with outlook in various timezones, Coordinate zoom and team calls as they come in Pepare and organized materials for meetings, presentations and events. Assist with automations for CEO & Sales reps to acheive overall better efficiency with the entire team. Responsible for sending out invoices, keeping up with inventory and paying bills as well as organizing automated reminders for team members. This role will help to manage coordination in sending out invoices to clients, billing and sending out automated reminders through Quickbooks. Office & Project Management: Oversee day-to-day office operations by ensuring efficiency & organization by filing important documents not only in the office but in the company database and working with existing software programs. This role will be a team role in terms of shipping out products from our ecommerce site, and coordinating our dropshipping station. Manage the timeline of when clients order product, billing, and whena product is shipped by providing confirmation of receipt & scheduling follow up calls with sales reps. Individual in this role, must be outgoing and comfortable with calling clients, not texting them. We do email, we do text, but phone calls have a personal touch and this is something that you should feel comfortable with. Maintain & update administrative processes to improve workflow. Maintain shipping instructions in case we have extra support that will be shipping and need instructions. Communication. Think Globally, not just nationally. If you have not had that experience, that is something you will learn, and we have a great global team. Working with the CEO? This role must be able to think proactively ten steps ahead of the CEO as the company works on a variety of projects going on at once. Being flexible while keeping calm is the person we are looking for. Serve as a point of contact between remote executives globally, national contractors, while being able to manage different time zones in a variety of regions to include global locations. If you do not have this experience but are open to learning we can work with you on this. Must be able to type, proofread, edit correspondence and send out appropriate communications both on paper and via email. Individual must maintain confidentiality as this role is prevy to confidential client information. We are a company with a cause. REQUIREMENTS: 2-5 years as an Executive Assistant Excellent organizaitonal skills, time management and multitasking skills as well as strong written and verbal communciations. Attention to detail is a high priority for this role. Proactive problem-solver with a positive, adaptable attitude. Successful candidates who work for this company kjeep searching until they find an answer to a problem, or a solution to consider. Individual must know the office 365 suite that includes outlook, word, powerpoint, etc and excel is a plus for this role. Familiarity with project management tools like Asana, Trello, Constant Contact etc. is a plus but not mandatory Ability to work independently and as a part of the team.
