The Position Friedman Vartolo LLP is seeking an Administrative Assistant to join our rapidly growing team and work in our Garden City, Long Island location. The Administrative Assistant will provide a supportive role in the Garden City, Long Island office, and handle a variety of administrative and clerical tasks. The position involves working with physical and digital legal documents, and therefore requires high attention to detail. The Administrative Assistant will work alongside the Office Manager and other Administrative team members with several day-to-day duties and projects. The ideal candidate will have excellent verbal and written communication skills and is able to remain calm and collected when handling escalated calls. Demonstrated strong organization and computer skills are required. The ideal candidate will work well under pressure and effectively exercise discretion and good judgment. Responsibilities • Maintain filing system and accurate log of original legal documents and other case related records, • Assist with digital mail sorting and electronic distribution of documents, • Handle internal requests to obtain documents and send to third parties, • Provide administrative support for any miscellaneous projects with a 'can do' attitude, • Monitor inventory and restock office and kitchen supplies; place orders as needed, • Cross train and provide backup support to answering and relaying incoming phone calls Qualifications • Computer savvy a must: MSWord, Outlook (email and calendar), Phone System. Job Description JOB DEFINITION: Charged with the oversight of the day-to-day appointments and functioning of the exam rooms on the RV and Box Truck, providing support operations to the prescriber in accordance with all regulatory and governing agencies. EDUCATIONAL REQUIREMENTS: • A certificate or associate's degree in medical assisting required., • Phlebotomy Certificate, • High School diploma or equivalent required. EXPERIENCE REQUIRED: Proficient in clinical skills, creating a safe and effective environment, health promotion and maintenance, procedural skills, documentation skills, strong verbal and written communication, inventory control, planning, dependability, and medical teamwork. Significant computer experience required, experience with an E.H.R./computer skill (i.e., Microsoft Office knowledge, ability to use Word, Outlook, Excel etc.) and an ability to utilize and navigate databases (i.e., I-STOP). Ability to perform phlebotomy. Co-occurring disorder experience a plus. DUTIES AND RESPONSIBILITIES: • Manage the day-to-day appointments and functioning of the exam rooms to ensure a safe, secure and healthy work environment in conformance with program objectives, agency policies and procedures, and compliance with regulatory funding, governing bodies and legal regulations., • Maintain patient confidence and protect operations by keeping patient care information confidential in accordance to HIPAA and other governing bodies., • Oversee functioning and maintenance of the exam rooms which impact on the quality and productivity of the program., • Responsible preparing clients for their visit as needed., • Responsible for confirming purpose of the appointment, completing vital signs, obtaining patient history, ensuring files are up to date and accurate in the E.H.R., completing Brief Medical Screening, preparing medical charts etc. Responsible for providing information, instructions and answering questions in accordance to prescriber education for the patient., • Support patient care delivery by helping health care providers by carrying out and tracking the authorization of drug refills as directed; telephoning prescriptions to pharmacies; managing lab work and follow up for results; assisting to complete drug tests (including supervised drug tests when clinically indicated) and ensure processing, with follow up to receive results., • Responsible for administrative duties including but not limited to confirming appointments, completing and following up on prior authorizations, managing supply stock and placing orders as needed, following up on lab work results for clients and implementing tracking systems as needed., • Responsible for updating the patient chart in the EHR, i.e., recording patient's exam, test results, treatment etc., • Facilitate sharing of data with the individuals to whom it applies to facilitate partnered decision-making and to keep clients informed of progress, • Complete QI Training during onboarding and participate in QI refresher training as needed., • Ability to cultivate a culture of inclusion for all employees that respects their individual strengths, views and experiences.
