POSITION SUMMARY: This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living, and social responsibility. The Financial Development Assistant supports YMCA fundraising and financial operations through administrative support, donor stewardship, data entry, payment processing, database management, event coordination, and communication. This position collaborates with the Development Team, Business Office, Marketing Department and Operations team to help achieve fundraising goals, strengthen donor relationships, and promote the mission and values of the YMCA. The role requires excellent customer service, strong communication skills, attention to detail, flexibility, and a high level of confidentiality. ESSENTIAL FUNCTIONS: Donor & Development Support • Provide excellent customer service to donors, members, and community partners., • Maintain donor management system/database, including accurate posting of gifts, donor updates, pledge management, and reporting., • Produce timely donor acknowledgements and thank-you letters., • Support donor stewardship through outreach and collaboration with Marketing to create impactful messaging for current and lapsed donors, including quarterly newsletter and other materials., • Manage and maintain donor recognition materials, such as digital screens in buildings., • Manage online giving platforms to ensure consistency, usage and compatibility with CRM., • Assist with Direct Mail campaigns as needed., • Assist with fundraising activities, campaigns, and donor cultivation efforts., • Provide training for staff regarding pledge/donation entry and other development related needs., • Gather information for grant applications, proposals, and letters of inquiry., • Manage logistics for donor-related events and community outreach programs., • Build and maintain relationships with donors, volunteers, board members, clients, and community partners. Financial & Administrative Support • Assist with accounts payable and receivable processes, including data entry, invoices, receipts, and payment processing., • Help reconcile pledges and contributions with the VP of Philanthropy and Business Office., • Assist with maintaining financial records, spreadsheets, and documentation., • Support preparation of financial statements, reports, budgets, and audit materials as needed., • Conduct research related to accounting, finance, or development topics., • Perform general administrative duties such as scheduling, filing, note-taking, and responding to phone and email inquiries., • Manage database input/output, mailing lists, and record-keeping with accuracy and discretion. Customer Service & Communication • Serve as a point of contact for donor issues, questions, or concerns, using good judgment to determine solutions., • Communicate effectively with internal staff, external stakeholders, and donors., • Handle confidential and sensitive information with integrity and professionalism. Other Duties • Assist staff across branches with fundraising-related administrative needs., • Support YMCA mission-driven initiatives and community engagement efforts., • Previous work experience in donor relations, administrative support, finance, or event planning preferred., • Strong verbal, written and public communication skills., • Proficiency in Microsoft Office, Canva Design platform, Adobe Acrobat Pro; experience with donor or financial databases highly preferred., • Ability to work and handle confidential information with integrity, discretion, and a professional approach., • Ability to relate effectively to diverse groups of people from all social and economic segments of the community., • Strong organizational skills and attention to detail., • Ability to manage multiple tasks simultaneously., • Completion of YMCA required training.
