Job Description Private family office seeks an experienced and highly capable Facilities Manager to oversee the day-to-day operation, hands-on maintenance, and regulatory compliance of a prestigious New York City townhouse used as an office space. This individual will serve as the primary facilities professional responsible for ensuring the property's infrastructure, building systems, safety programs, vendor relationships, and maintenance operations are maintained to the highest standards. The ideal candidate will possess extensive experience managing complex luxury townhouse systems. This role requires a proactive, hands-on professional with exceptional troubleshooting abilities, strong project management skills, and comprehensive knowledge of NYC building systems and compliance requirements. The successful candidate will demonstrate outstanding organizational and communication skills, maintain a service-oriented mindset, and be comfortable operating in a fast-paced environment where responsiveness, discretion, and accountability are essential. This position typically follows a Monday through Friday schedule, approximately 7:00 AM to 3:00 PM, with flexibility to work extended hours, weekends, and holidays as needed. Candidates must maintain an on-call, 24/7 mentality to respond to emergencies and coordinate urgent repairs when necessary. Responsibilities include, but are not limited to: • Oversee all building operations, maintenance, repairs, and preventative maintenance programs to ensure the property remains safe, functional, and operating at peak efficiency, • Maintain and troubleshoot all major building systems including HVAC, electrical, plumbing, mechanical, fire alarm, sprinkler, security, access control, lighting, and building automation systems, • Develop, implement, and manage preventative maintenance schedules and service programs for all building equipment and infrastructure, • Respond promptly to building emergencies and coordinate corrective actions, repairs, and vendor support as required, • Conduct regular inspections of building systems, common areas, and back-of-house spaces to ensure operational excellence and identify maintenance needs proactively, • Maintain the overall appearance and readiness of the property, including building entrances, service areas, seasonal preparations, recycling management, snow removal coordination, lobby preparations during inclement weather, lighting controls, window shade programming, and HVAC management, • Serve as the primary point of contact for facilities vendors, contractors, consultants, and service providers, • Solicit, evaluate, and compare proposals and bids to ensure cost-effective solutions and quality workmanship, • Coordinate contractor scheduling, insurance compliance, project timelines, and scope execution, • Build and maintain strong vendor relationships while negotiating favorable pricing and service agreements when appropriate, • Oversee maintenance projects, capital improvements, and facility upgrades from planning through completion, • Ensure full compliance with all applicable local, state, and federal regulations, including requirements established by FDNY, DOB, OSHA, DEP, and related governing agencies, • Monitor inspections, permits, violations, certifications, renewals, and regulatory deadlines to ensure timely completion and avoid penalties, • Serve as the property's designated Fire and Life Safety Director/Coordinator as required, • Maintain accurate records including inspection reports, maintenance logs, compliance documentation, service records, and vendor information, • Collaborate with leadership, management teams, and outside stakeholders to ensure operational goals and project objectives are achieved, • Support additional facilities, maintenance, and operational initiatives as requested Requirements: • Excellent references required from both current and previous employers, • Minimum 10+ years of experience in building engineering, facilities management, property operations, or related disciplines, • Extensive experience managing commercial, mixed-use, luxury residential, or high-profile properties within New York City, • Comprehensive knowledge of building systems including HVAC, electrical, plumbing, mechanical, fire protection, and security systems, • Strong understanding of NYC building codes, regulatory requirements, permits, inspections, and compliance processes, • Proven experience managing vendors, contractors, maintenance teams, and capital improvement projects, • Exceptional organizational, project management, and multitasking abilities, • Strong written and verbal communication skills with the ability to prepare reports, documentation, and correspondence professionally, • Highly detail-oriented with strong problem-solving and troubleshooting capabilities, • Ability to work independently while collaborating effectively with leadership, vendors, and service providers, • Professional, polished, discreet, and service-oriented demeanor, • Ability to remain calm and effective in emergency situations and rapidly changing environments, • Strong proficiency with Microsoft Office Suite, particularly Outlook, • Ability to work extended hours, weekends, and holidays as needed, • Ability to remain on-call and respond to emergency situations outside of normal business hours, • Authorized to work within the United States Preferred Certifications & Licenses: • FDNY Fire and Life Safety Director Certification (F-89/T-89 or equivalent), • OSHA 30 Certification, • CPR and First Aid Certification, • EPA Universal Certification, • NYC Stationary Engineer License, • NYC Refrigeration Engineer License (Q-01), • Additional FDNY Certificates of Fitness including, but not limited to:, • S-95 Supervision of Fire Alarm Systems, • S-12/S-13/S-14 Sprinkler and Standpipe Systems, • F-01 Fire Guard for Impairment, • G-35 Air Compressor Operation, • P-99 Low Pressure Oil Burner, • Additional certifications relevant to building operations and life safety systems Compensation: $120k - $140k + Benefits Benefits: overtime, comprehensive health benefits, paid time off, 401(k) participation with company match, and discretionary bonus eligibility.
