Senior Executive Legal Assistant Location: Austin, TX Work Model: Hybrid (3 days onsite, 2 days remote) Compensation: $80,000–$100,000 annually (commensurate with experience) The Opportunity A respected, full-service law firm is seeking an experienced Senior Executive Legal Assistant / Client Services Specialist to provide executive-level administrative support to senior, high-performing attorneys. This position supports revenue-generating attorneys and plays a critical role in ensuring seamless daily operations, allowing attorneys to focus on client service, business development, and practice growth. Key Responsibilities Executive & Client Support • Serve as the primary point of contact for assigned attorneys, managing day-to-day administrative and operational needs within a real estate and transactional legal practice, • Coordinate client communications, manage sensitive and confidential information, and act as a liaison between attorneys, clients, and internal departments, • Proactively anticipate attorney needs, manage competing priorities, and resolve administrative challenges with minimal supervision Workflow & Project Management • Coordinate all workflow for assigned attorneys, including delegating tasks to support teams and ensuring follow-up and quality control, • Manage multiple real estate and transactional matters simultaneously, tracking deadlines, deliverables, and deal milestones, • Utilize workflow management systems to log, monitor, and manage assignments efficiently Calendar, Travel & Email Management • Manage complex calendars, meetings, and scheduling for attorneys, including transaction timelines and critical deal dates, • Arrange domestic and international travel and prepare detailed itineraries, • Proactively manage attorneys’ inboxes, prioritize urgent communications, and draft responses as directed Document & Matter Management • Prepare, edit, format, and proofread transactional legal documents, including contracts, closing documents, and correspondence, with a high degree of accuracy, • Maintain document version control and organization in compliance with firm policies, • Facilitate document execution, closing coordination, filing, and distribution, • Process new client and matter intake, including preparing matter forms, requesting conflict checks, and opening files Billing & Administrative Coordination • Coordinate billing-related administrative functions, including billing letters and client financial updates, • Assist with tracking and monitoring matter budgets, invoices, and alternative fee arrangements Team Collaboration • Work within a team-based support model, sharing responsibilities as capacity allows, • Participate in team meetings and collaborate to improve efficiency and service delivery, • Share best practices, training insights, and process improvements Additional Support • Prepare and process incoming and outgoing mail and correspondence, • Maintain attorney contacts, CLE requirements, and professional memberships, • Handle special projects and additional duties as assigned, • Operate standard office equipment and maintain professionalism in high-pressure, deadline-driven environments Practice Group-Specific Support • Demonstrate strong proficiency in real estate and transactional legal work, including familiarity with deal processes, documentation, and closing procedures, • Provide specialized support aligned with the needs of the practice group Required Qualifications • Bachelor’s degree or equivalent combination of education and professional experience, • 5+ years of administrative or executive support experience within a law firm or legal services environment, specifically supporting real estate or transactional law practices, • Demonstrated experience supporting deal-driven workflows, including closings, contract management, and transactional document coordination, • 3+ years of legal assistant or legal administrative experience, • Advanced proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), • Exceptional attention to detail with strong grammar, spelling, and proofreading skills, • Demonstrated ability to handle highly confidential information with discretion, • Minimum typing speed of 60 WPM, • Prior legal transcription experience Why Consider This Role • Hybrid work schedule offering flexibility, • Competitive compensation package, • Opportunity to support senior-level attorneys on complex real estate and transactional matters, • Collaborative, team-oriented culture with long-term growth potential This role offers stability, visibility, and the opportunity to become a trusted partner to senior attorneys in a dynamic, client-focused real estate and transactional practice.
