Position Title: Residential Property Manager / House Manager Location: East Quogue, Long Island Reporting to: Family Residences Manager We are seeking an experienced, highly organized and service-oriented Property Manager/House Manager to oversee the daily operations and maintenance of a newly built single family residential compound. The property contains a large house, a dock, a boat house and 2 additional residential structures. The property serves as the family’s weekend and summer home. The Property Manager will serve as the primary on-site lead in Long Island. The Property Manager will also support the Residences Manager across other family properties as needed, typically in the off season. This role requires a hands-on contributor with exceptional attention to accuracy and detail and exceptional project management skills. The ideal candidate has strong vendor‐management experience and can work efficiently and discreetly in a fast‐paced, high‐expectation environment. Position Responsibilities The primary focus of this position is to oversee the daily operations and maintenance of the East Quogue compound. This role requires someone hands-on who is dedicated to producing the highest quality of work, regardless of the task. Responsibilities include: 1. Property Operations & Maintenance • Oversee day-to-day operations of the East Quogue compound, ensuring consistent excellence in presentation, maintenance and functionality across interiors, exteriors and amenities including the dock (with a 35’ power boat and a few smaller craft)., • Conduct regular walkthroughs to identify issues proactively; maintain detailed preventative maintenance schedules and service logs., • Ensure that grounds, gardens, hardscape, dock / marine areas, pool / spa systems, garages, workshops and storage are impeccably maintained and guest-ready at all times., • Manage beach, leisure and seasonal equipment (e.g., bikes, boards, beach gear), ensuring cleanliness, repair and readiness., • Coordinate seasonal open / close activities (e.g., spring ramp-up, fall winterization, storm preparation)., • Oversee the care, maintenance and readiness of the family’s vehicles and boats including coordinating routine servicing, detailing, seasonal preparation, fueling, battery / engine checks, registration updates and ensuring all equipment is properly stored, secured and guest-ready at all times., • Liaise with marine and automotive service providers, track maintenance schedules and maintain logs to ensure reliability and longevity of all assets., • Onboard, maintain and actively utilize Nines Living household management software to centralize tasks, vendor schedules, maintenance logs, property documentation, inventories and SOPs ensuring real-time accuracy, accountability and seamless coordination. 2. Vendor, Contractor & Project Oversight • Coordinate, schedule and supervise vendors across HVAC, plumbing, electrical, landscaping, arborists, AV / IT, security, pool, housekeeping, dock / marine services and specialty trades., • Evaluate and maintain service contracts in collaboration with the Residences Manager; track performance and pricing to ensure alignment with standards., • Oversee small- to medium-scale repairs, property projects and improvements including scopes, bids, timelines and punch-lists; provide on-site quality control and reporting. 3. Household Support, Logistics & Hospitality • Manage household supplies, inventories, procurement, deliveries and storage organization with meticulous labeling and documentation., • Assist with furniture movement, seasonal changeovers, detailed arrival / departure preparations and turnover checklists., • Coordinate and support events and family gatherings including vendor liaison (caterers, rentals, valet), setup / teardown and polished on-site presence with light service as needed. 4. Technology, Security & Risk Management • Monitor and troubleshoot smart-home, AV / IT and security systems; liaise with specialists to ensure reliability and full functionality., • Implement security protocols, key control, visitor / contractor access and basic cyber-hygiene for household technology., • Maintain emergency readiness: storm procedures, backup power readiness / testing, incident logs and coordination with local services. 5. Financials, Records & SOPs • Support the Residences Manager with invoice review, expense tracking, budget monitoring and vendor compliance; maintain clean records for property-related costs., • Maintain and refine household manuals, operating procedures (SOPs), checklists and asset inventories (including warranties and service histories)., • Assist with capital planning inputs (replacement cycles, lifecycle costing and long-lead items). 6. Collaboration with Residences Manager & Multi-Property Coordination • Serve as the primary on-site manager in Long Island while coordinating closely with the Residences Manager for approvals, planning and escalations., • Provide additional support for NYC or other family properties during winter months and as directed during travel periods., • Coordinate cross-property logistics, vendor scheduling and supply movement to ensure consistency of standards and preparedness. 7. Seasonal Rhythm • May – October: High-touch, high-volume operational season with daily on-site engagement and extended hours as needed. Comprehensive season start and end programs., • November – April: Lower daily volume; focus on maintenance projects, resets, documentation and NYC support. Candidate Requirements • Bachelor’s degree is required., • Minimum 5+ years managing high-end private residences/estates or luxury hospitality environments., • Proven vendor management and project oversight experience with the ability to direct and evaluate trades and service providers., • Hands-on technical understanding of residential systems: HVAC, plumbing, electrical, security, AV / IT, pool / spa, irrigation and general mechanicals., • Experience with boats, docks and waterside property operations preferred., • Demonstrated track record supporting high-net-worth principals with discretion, professionalism, and service excellence., • Able to direct on-site staff, housekeeping, and seasonal personnel; build schedules and uphold performance standards., • Meticulous follow-through, task tracking and the ability to prioritize competing needs in a dynamic environment., • Comfortable with scheduling platforms, spreadsheets, cloud files, CMMS / maintenance trackers and smart-home systems., • Resourceful, anticipatory and composed under pressure; strong judgment in escalating issues., • Clear, courteous communication across Principals, internal staff and vendors; error-free documentation and reporting., • Equally comfortable planning operations and rolling up sleeves for detailed daily upkeep., • Professional, grounded and reliable with a refined service orientation., • Discreet and privacy-minded at all times, impeccable judgment and emotional intelligence., • Detail-obsessed, proactive and committed to excellence; thick-skinned., • Valid driver’s license with a clean driving record., • Flexibility to work extended hours during peak season and occasional weekends / holidays; 24 / 7 on-call for urgent issues., • Ability to lift / move / carry items as needed for property operations and event setups., • Willingness to sign and comply with NDA / confidentiality agreements and undergo standard background checks., • Must be authorized to work in the United States for any employer.
