THE ROLE Position Overview As Quality Manager, you are the guardian of VELA’s quality management system and the cross-functional orchestrator of high-standard, regulated execution. Your role is to ensure that VELA operates and continuously improves in line with: • Applicable GDP (Good Distribution Practice) requirements for pharmaceutical - and other demanding customers such as the luxury industry - transport and distribution, • Customer expectations (external audits, client SOPs, quality agreements), • A quality management aligned with ISO 9001 principles (process approach, risk-based thinking), supporting our internal execution excellence system. Key Responsibilities Quality Management System & ISO 9001 alignment (Company Wide) • Lead quality governance: daily/weekly follow-up of action plan, change controls, and customer SOPs, • Ensure documentation is up to date, accessible, traceable, and approved, • Lead cross-functional quality routines (performance reviews, risk reviews, action tracking) integrated into company management, • Finalize, structure and maintain the VELA QMS aligned with ISO 9001 process thinking and GDP expectations on responsibilities and risk management, • Conduct on-site internal audits as needed (at the harbor, in the warehouses, on the vessel, within our partners network) GDP Compliance & SOP System (“Pharma grade” operations) • Act as the quality focal point for operations: validate and maintain critical SOPs and ensure their proper application (ports, handling, documentation, security, temperature control), • Oversee pharma cold chain compliance: monitoring, calibration, excursion management, data review, and provision of evidence to customers when required, • Ensure control of outsourced activities: quality requirements in contracts and audit of the critical suppliers and subcontractors, • Lead non-conformities (deviations, temperature excursions, documentation errors) resolution process in near real time: containment, investigation, regular customer communication in close collaboration with Account Managers, • Lead the client complaints process and define the corrective and preventive actions needed to solve the root causes, • Lead the quality crisis process with the key peoples, • Build and maintain an up-to-date audit pack (QMS overview, SOPs, training records…), • Prepare and manage customer quality interactions: audit responses, alignment on Quality Agreements, follow-up of open points, • Orchestrate preparation for planned internal and external audit milestones, • Industrialize quality scalability: more vessels, more ports, more partners without a rise in non-quality, • Structure the VELA execution excellence system Skills & Experience • Strong experience in high-standard, regulated quality systems (e.g. pharma 4PL, large pharma company or pharma supply-chain broader ecosystem), with hands-on exposure to GDP/GxP, audits, and deviation, • Proven ability to design and operate a risk-based QMS (detailed SOPs, documentation management, employee training, continuous improvement) compliant with GDP and consistent with ISO 9001, • GDP expertise: transport conditions control, storage qualification (temperature mapping, seasonal and representative live testing), excursion management, customer evidence, • Risk Management: ability to use risk analysis tools and adapt the level of formality to risk, • Documentation & data integrity: strong documentation discipline, traceability, version control; ability to work with IT on document management tools, • Cross-functional influence: enforce standards without authoritarianism, improve systems without bureaucracy, • Quality crisis management: containment, communication, decision-making, and disciplined closure, • You are fluent in spoken and written English and proficient with office and IT tools;, • Your rigor, responsiveness, and capacity for analysis and synthesis, combined with interpersonal skills, will enable you to succeed in your missions., • A sense for sailing is a plus :) WHAT WE OFFER • A good dose of adventure, • The opportunity to contribute directly to a future project that aims to transform the shipping industry while having a concrete impact on environmental protection, • A dedicated & GdP-approved quality management system, • A dynamic, entrepreneurial and committed work environment, where your ideas and initiatives will be valued, • A formative experience alongside a passionate and experienced team, • A demanding yet caring environment JOB LOCATION You would be working from our offices in Bordeaux, France SALARY The compensation consists of a fixed basic wage and a performance related bonus.
