Job Description Administrative Assistant/Office Manager Location: Stamford CT Employment Type: Part-Time (30 hours per week minimum) On-site Reports To: CEO Compensation: $40.00 per hour plus benefits Confidential Search About the Role Private Wealth Management firm is seeking a highly reliable, discreet, and service-oriented Administrative/Office Manager to support the daily operations of the principals and assist with a range of personal, financial, and administrative tasks. This role requires exceptional judgment, adaptability, and the ability to anticipate needs in a dynamic environment where priorities shift quickly. Key Responsibilities Office Administration • Assist in managing financial administration including bill payments, tracking expenses, and liaising with advisors as needed., • Organize and maintain secure digital and physical filing systems across legal, financial, and personal domains., • Support company governance processes, document preparation, and record-keeping., • Manage complex calendars, appointments, and scheduling for CEO., • Coordinate travel arrangements, including private and commercial travel, accommodation, and itinerary preparation., • Handle personal tasks such as household coordination, vendor management, reservations, event planning, and special errands., • Serve as a polished point of contact for company members, household staff, advisors, and external service providers., • Communicate on behalf of the principals in a professional and discreet manner., • Build strong relationships with internal and external partners to ensure seamless operations. Project & Event Support • Assist with planning and executing company events, gatherings, or travel-related activities., • Support special projects (e.g., real estate management, philanthropic activities, investment coordination) as directed. Required • 3–5+ years of experience in executive support, personal support, or company office administration., • High level of discretion, integrity, and professionalism., • Excellent organizational skills with the ability to manage multiple priorities., • Strong written and verbal communication skills., • Proficiency with Microsoft Office Suite, Google Workspace, and general tech tools., • Previous experience in a boutique wealth management firm or investment advisory firm., • Experience handling confidential financial or legal documents., • Trustworthy, discreet, and comfortable handling confidential information., • Proactive problem-solver who anticipates needs before they arise., • Calm, composed, and resourceful under pressure., • Highly polished and service-oriented with a “no task too small” attitude.
