Job Description JOB TITLE: SENIOR COLLECTIONS SPECIALIST Musick, Peeler & Garrett LLP has an opening available for a Senior Collections Specialist to join the Los Angeles office. This position is full-time, hourly, non-exempt, and on-site with hours of 8:30 a.m. to 5:00 p.m. The Senior Collections Specialist will have a minimum of 5 years' experience, preferably in a law firm environment. The successful candidate will have excellent interpersonal and communication skills and experience working with firm management, attorneys, third-party vendors, and firm staff at all levels. A high degree of professionalism and customer service skills, must remain open and flexible, as well as the ability to learn new skills quickly and adapt to changing priorities are required. Must be detail-oriented and able to work independently and as part of a team. Excellent computer skills required (Microsoft Excel, Word, Outlook), and a proficiency in Aderant (accounting software) is preferred. The candidate will keep the Director of Finance and attorneys appraised of collection status and issues, follow up with clients to work on collections for outstanding bills, and escalating AR issues. This candidate will work closely with the accounting and billing team, and report to the Director of Finance. Duties and responsibilities: • Working with the Director of Finance, responsible for collecting the firm's accounts receivable., • Engages with a wide variety of firm clients, contacts, and arrangements, including direct engagements, insurance carrier arrangements (including multi-payor, deductible tracking)., • Works with billing professionals, payables and electronic submission teams to resolve issues., • Through direct and indirect engagement, contact clients regarding outstanding accounts: follow up on electronic billing systems, ensuring invoices are following payment status., • Tracks, anticipates, monitors and follows up on payments, short payments, and disallowed items., • Reviews Past Due report and sends monthly statements to clients., • Advise the firm’s Director of Finance and General Counsel when client disputes may result in a claim against the firm. Assist firm's General Counsel as needed with client's potential disputes against firm., • Creates ad hoc reports with billing and payment information for attorneys and clients., • Participate in collection committee meetings., • Reviews short-pay balances, analyze income realization and determine/report client profitability., • On a quarterly basis, follow up on all unbilled time and ensure all unbilled time is billed in accordance with firm policy. Follow up with attorneys on the status of accounts assigned to them., • Maintain quarterly reports, monthly, ad hoc reports – examples include YTD Ranked Client Billing, Ranked Client Receipts, Ranked Group Billings and Ranked Group Receipts for a period of three fiscal years. Maintain the same reports for the 4th quarter for a period of five years., • Provide backup coverage for posting all forms of cash receipts into Firm finance system/database. Balance daily income / reconcile activity., • Assist attorneys with special projects involving client accounts, assist in the preparation of Memorandums of Costs. Assist Director of Finance with special projects - as directed. Preferred knowledge, skills, and abilities: • Minimum 5 years of relevant experience, preferably in a law firm environment., • Strong sense of time management, organization, accuracy, and consistency is required., • Associate's degree in a related field. (Bachelor's degree in related field preferred)., • Ability to communicate with various levels of firm management., • Professional demeanor, with a commitment to providing a high level of customer service., • Excellent written and verbal communication skills., • Strong analytical and problem-solving abilities., • Proactive, takes initiative, a self-starter with a great work ethic.
