Job Description Position Summary The Assistant Bookkeeper supports the Finance Department in maintaining accurate financial records, processing transactions in a timely manner, and ensuring compliance with internal controls, grant requirements, and federal, state, and local regulations. This position plays a vital role in managing the daily financial operations of In Our Own Voices (IOOV). This rapidly growing, grant-funded nonprofit organization serves LGBTQ+ Black, Indigenous, and People of Color communities. Role and Responsibilities • Assist with accounts payable and accounts receivable activities, including accurate data entry, invoice processing, payment posting, and vendor management., • Reconcile financial accounts regularly, including bank and credit card statements, and flag discrepancies for follow-up., • Maintain organized and up-to-date financial records in both digital systems and physical files., • Support preparation and processing of staff payroll, timesheet verification, and payroll allocations for grant reporting., • Assist in generating monthly, quarterly, and annual reports for internal review and submission to funders., • Monitor program and grant-related expenses to ensure alignment with approved budgets and compliance with grant terms., • Communicate with vendors, partners, and internal team members regarding invoices, payments, and financial inquiries., • Provide administrative support during audits, budget development, financial monitoring, and year-end closing., • Perform general clerical duties (e.g., scanning, copying, uploading documents) to support the Finance Department., • Fulfill additional duties assigned by the Fiscal Director and Grant Finance Manager as needed to support financial compliance and efficiency. Qualifications Required • Associate’s degree in Accounting, Finance, Business Administration, or related field., • 1 to 2 years of bookkeeping, accounting, or financial administrative experience., • Proficiency in accounting software (QuickBooks or similar) and Microsoft Office Applications (Excel, Word, Outlook)., • Strong attention to detail, organizational skills, and ability to meet deadlines., • Demonstrated integrity, professionalism, and ability to maintain confidential information., • Experience working with grant-funded organizations, nonprofits, or human services agencies., • Familiarity with fund accounting, grant budgets, or contract reimbursement processes. Physical Demands • Ability to occasionally lift up to 25 lbs. independently (e.g., files, office supplies)., • Frequent sitting, typing, and computer work with opportunities to move throughout the day. Working Conditions • Office-based position with significant use of online financial systems., • Regular interaction via phone, email, and in-person with staff, vendors, and external stakeholders.
