The Recruiting Coordinator & HR Administrator serves as a central HR support role, blending recruiting coordination, onboarding, HR data management, and administrative responsibilities. This role manages the candidate experience from scheduling interviews through onboarding, ensuring data accuracy across HR systems, and provides day-to-day HR operational support. The ideal candidate is highly organized, detail-oriented, and confident working across multiple HR platforms while delivering excellent service to candidates, employees, and managers. Recruiting Coordination & Offer Process • Schedule interviews at the request of recruiters and hiring managers., • Manage the offer-to-onboarding process, including creating internal offer letters and processing job changes in Insperity., • Administer background checks, E-Verify, and timely I-9 compliance., • Manage DocuSign workflows for offer and new hire paperwork., • Track new hire onboarding status; communicate actively with hiring managers and candidates., • Serve as point person for new hire questions., • Assist managers in coordinating first-day needs (equipment, technology, travel, accommodation, etc.). Onboarding & Employee Lifecycle • Manage technology and application enrollment as needed., • Coordinate and monitor all new employee paperwork and onboarding requirements., • Maintain employee files on Dropbox and ensure all digital files remain accurate and complete., • Manage internal onboarding tasks using systems such as Insperity, Rippling (preferred), StaySafe, MileIQ, LMS, and others., • Support resignations and terminations: submit system and asset recovery instructions, coordinate offboarding paperwork, and maintain termination checklists., • Ensure compliance with employment-related processes and policies. HR Administration & Data Management • Act as the Data Management SME, accurately auditing and maintaining employee HRIS records., • Maintain data cleanliness and ensure compliance within Insperity and other HR systems., • Prepare, update, and securely maintain digital employee personnel files., • Provide reporting and data analysis support for HR leadership., • Support leave of absence and workers’ compensation processes as needed. Knowledge • Employment and labor laws, • Employee relations, • Familiarity with HRIS technologies (Insperity, Rippling preferred), • Experience with cloud-sharing applications (Docusign, SharePoint, etc.) Skills • High proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint), • Exceptional interpersonal and communication skills, • Customer service–oriented with a collaborative mindset, • Outstanding organizational and coordination skills, • Strong problem-solving Abilities • Self-starter; able to work independently and manage multiple processes simultaneously, • Balance a cooperative and consultative approach with the ability to enforce compliance requirements, • Ability to prioritize tasks, stay organized, and manage competing requests, • Detail-oriented and process-driven; enjoys tracking workflows and completing to-do lists, • Comfortable collaborating with managers and recruiters across multiple departments General Home Office Environment; Work-From-Home Required Education Bachelor’s degree in Human Resources, Business Administration, or related field preferred, or equivalent experience. Required Experience 2+ years of experience in HR coordination, recruiting support, or HR administration. Preferred Experience HRIS implementation experience is preferred, as this role may play a support role to an upcoming HRIS changeover and the design of a new Applicant Tracking System and Employee Onboarding Experiences. • Experience with Insperity, Rippling, E-Verify, Docusign, and background check platforms strongly preferred., • Proven ability to handle sensitive and confidential information with discretion., • Strong track record of managing onboarding, employee lifecycle tasks, and HR compliance processes. Preferred Certifications HR Certifications such as SHRM or PHR. Required/Other • In-depth knowledge of multi-state employment law, benefits administration, and HR compliance., • Strong experience with HRIS systems, process improvement, and policy development., • Exceptional interpersonal, communication, and conflict resolution skills., • Proven ability to manage confidential information with discretion.
