Job Description JOB-19375 Executive Sec. and Admin Assistant - 25596 Office of Aging and Long-Term Care – Nursing Homes Administrative Assistant The Nursing Home Program is responsible for regulatory activities related to health care facilities. Some of the many program responsibilities include: inspecting facilities for compliance with Federal and State Regulations regarding quality of care and environmental safety; responding to, and investigating, complaints; oversight of emergency preparedness activities at regulated facilities; all Area Office functions of the Department’s Certificate of Need (CON) process where the Regional Office approves a facility to operate a new service, facility, equipment or occupy renovated space. The program also performs other important functions such as reviewing facility or provider closure plans. Job Duties: Must be able to provide high-level admin support by: • Completing mandatory Federal reporting, data entry and tasks required for Federal reimbursement and maintain RO compliance with Federal nursing home performance measures, • Creates and maintains files according to Federal and NYS requirements, • Screen incoming correspondence, refer to appropriate staff and follow up to assure timely response, • Entering survey data into the iQIES Central Office electronic Federal reporting system, • Create survey letters to providers, track survey event status in federal system and maintain survey tracking log, • Receive and process mail, faxing, scanning/photocopying, emailing, and uploading documents, • Organize, bind, file and purge survey documents per DOH policies, • Generate electronic survey shells and prepare paper survey document packets, • Provide main reception coverage, maintain adequate office supplies for administration and survey staff Minimum qualifications: • a high school diploma (or equivalent),, • two-year minimum experience working in a professional office setting,, • excellent working knowledge of Microsoft Office (specifically Word, SharePoint and Excel),, • the ability to enter data into, and extract data from, electronic databases,, • the ability to work independently and on a team with different personalities,, • the ability to handle multiple, shifting priorities,, • familiarity with health care facility surveillance and complaint incidents and investigation correspondence and reporting, • familiarity and knowledge of the ASPEN System, Health Commerce System (HCS), and the applications within the HCS such as NYSECON, NFIS, and E-POC, • prior experience working within the NYS Department of Health Nursing Home programCompany DescriptionEstablished in 2005, Knowledge Builders Inc.
