Behind every child who receives services is a coordinated effort to make sure care is authorized, covered, and never interrupted. The Insurance Coordinator sits at the center of that effort. Position Summary We're looking for a detail-driven Insurance Coordinator to own the eligibility and authorization side of our ABA services. In this role, you make sure every client has active insurance coverage and valid authorization in place before and throughout their care --- verifying benefits, securing initial authorizations, and staying ahead of re-authorization deadlines so that no child's services lapse. You'll be the connective tissue between payers, our clinical team, and families, translating insurance requirements into clear next steps and keeping our authorization pipeline accurate and current. This is a role for someone who is organized, persistent, and detail oriented --- someone who takes real ownership of deadlines and follows through until each authorization is confirmed. Position is full-time and compensation is based on experience ranging between $25-30/hr. Key Responsibilities Eligibility & Benefits Verification • Confirm that referrals, diagnoses, and required documentation meet each payer's criteria for ABA services., • Confirm new coverage whenever a client's coverage changes. Authorization & Re-authorization Management • Prepare and submit initial authorization requests for ABA assessments and treatment, ensuring each packet is complete and payer-compliant., • Track every active authorization --- units approved, units used, and expiration dates --- and initiate re-authorizations well ahead of deadlines to prevent any lapse in services., • Coordinate with BCBAs and the clinical team to gather assessments, treatment plans, progress reports, and supporting documentation required for authorization and continued-care requests., • Monitor authorization status through submission, follow-up, and approval, escalating delays and resolving payer requests for additional information. Payer & Internal Coordination • Serve as the primary point of contact with our insurance team, • Keep clinical, intake, and billing teams informed of authorization status, upcoming expirations, and any coverage issues that could affect a client's schedule., • Communicate coverage and authorization details clearly to families when needed, in plain, supportive language. Records & Compliance • Maintain accurate, up-to-date authorization records in our systems (client management platform and payer portals), ensuring dates, units, and documentation are always current., • Track key dates and maintain a reliable tickler/reminder system so re-authorizations are never missed., • Handle all client and health information in accordance with HIPAA and organizational privacy standards. Qualifications Required • 1+ years of experience in insurance verification, prior authorizations, or a related healthcare administrative role (ABA, behavioral health, or pediatric therapy experience strongly preferred)., • Working knowledge of insurance concepts --- eligibility, benefits, authorizations, medical necessity, and payer requirements., • Strong organizational skills and exceptional attention to detail, with a proven ability to manage many deadlines at once without letting anything slip., • Clear, professional written and verbal communication., • Comfort working in insurance portals, EHR/practice-management systems, and standard office software (spreadsheets, email)., • Persistence and comfort with payer follow-up --- including phone calls and appeals of incomplete or delayed requests., • A discreet, professional approach to confidential health information (HIPAA). DUTIES, TASKS, AND RESPONSIBILITIES Classroom Management • Prepare and maintain classrooms according to the Early Childhood Environmental Ratings Scale (ECERS) standard, • Maintain a clean and safe environment that encourages health and hygiene of students and staff, • Ensure the supervision of students and maintain sight lines at all times, • Establish classroom rules and guidelines that build on clear expectations of classroom behavior and promote order and effective routines for students, • Follow all COVID-19 protocols and guidelines recommended by the Center for Disease Control and Prevention (CDC) and the New York State Department of Health (DoH) Student Development • Maintain student logs i.e attendance roster, daily health inspection record, screening forms, incident reports, • Provide services to all students with respect and confidentiality in efforts to promote equity, diversity and an inclusive classroom, • Partner with the Education Director and the teaching staff on weekly/monthly instructional lesson plans that are both creative and engaging to students in accordance with the NYC Department of Education and HighScope Early Learning Curriculums AND that meet student developmental goals, • Work along with the Education Director and Teaching Assistant to host bi-annual student evaluation sessions with families that review student development and strengthens family partnership, • Implements appropriate behavior management strategies to achieve and maintain a functional learning classroom environment Family Engagement • Create and post monthly classroom newsletters keeping families regularly informed of, but not limited to, school requirements and upcoming events., • Plan, coordinate, and execute engaging classroom-level family events throughout the school year, including seasonal activities, multicultural gatherings, and end-of-year graduation/culminating celebrations that build community and honor student achievements., • Identify barriers to family engagement and provide resources for families as needed Administration • Prep your classrooms daily before the arrival of your students, • Participate in weekly and/or monthly staff meetings, • Attend professional development workshops and seminars as needed REQUIREMENTS • NY State Initial or Professional Teaching Certification (Early Childhood / Birth–Grade 2) or,, • A formally approved study plan, • State Central Registry (SCR) Child Abuse Clearance, PETS (Personnel Eligibility Tracking System) registration/clearance, up-to-date medical clearance / TB Test as mandated by NYC DOHMH Stillwell Avenue Inc. is an equal opportunity employer and does not discriminate in its employment decisions, in accordance with state and federal laws

Clearly and accurately communicate details from the appointment to the Residential Coordinator, Medical Compliance Officer, and/or designee., • Follow and demonstrate understanding of medication policy and procedures in the monitoring and administration of the client’s medications. Completes Medication Error Report when needed., • Ensures home, grounds, yard and van are maintained in clean, safe, and sanitary condition., • Ensures meals are prepared and planned based on clients’ individual diet, client input, and the planned menu for the month., • Ensures that the Recreation Calendar is carried out as per client input and as per the planned calendar completed each month., • Responsible for competing all required documentation to include but not limited to, daily logs, communication logs, and behavior reports., • Ensures line of sight for the individual(s) being supported is maintained and completes reports accordingly., • Responsible for adequately and completely cleaning the home during any shift worked., • Ensures that a client’s dignity is not compromised in any way., • Responsible for reporting all emergencies or unusual incidents to direct supervisor., • Cooperates with the licensee and Department staff in any inspection, inquiry or investigation.
