Job Description Position Title: Client Operations Coordinator / Sales Operations Specialist Role Summary Everglory Products Corporation, a fast-growing manufacturer of disposable paper products serving major U.S. retailers, is seeking a Client Operations Coordinator / Sales Operations Specialist to manage order flow, production alignment, and shipment coordination across departments. This is a high-visibility, fast-paced, and cross-functional role. You’ll serve as the operational bridge between Sales, Production, Logistics, and Accounting, ensuring every customer order is executed accurately, efficiently, and on schedule. The ideal candidate thrives under pressure, communicates clearly, and manages details relentlessly. This position is pivotal to maintaining our company’s production rhythm, client satisfaction, and operational precision. Key Responsibilities 1. Client & Sales Management • Receive, review, and enter customer purchase orders (POs), verifying pricing, product specifications, and production feasibility., • Communicate clearly with clients regarding order requirements, delivery dates, and adjustments caused by capacity, materials, or logistics., • Maintain strong relationships with B2B customers and provide responsive support for inquiries and after-sale issues., • Prepare and issue quotations, sales confirmations, and contract documentation., • Coordinate internally with management and finance to approve client terms, credit limits, or payment milestones., • Maintain customer profiles and contract documents in ERP/CRM systems for quick reference and audit readiness. 2. Production Coordination & Planning • Translate sales orders into manufacturing orders (MOs) and production orders (POs); verify quantities, specifications, and material availability., • Collaborate with production supervisors to create or adjust daily and weekly production schedules aligned with client deadlines and line capacity., • Monitor production progress daily; update clients and management on potential risks or delays., • Ensure product changeovers, tooling, and printing plate requirements are communicated accurately to production teams., • Support material forecasting by aligning order volume with raw material inventory, working closely with procurement on replenishment needs., • Track and log production yields, rejects, and downtime to improve scheduling accuracy., • Proactively identify bottlenecks or inefficiencies in production scheduling and recommend improvements. 3. Logistics & Scheduling • Coordinate shipments by communicating with warehouse teams and external trucking companies., • Arrange freight pickups, deliveries, and dispatch plans while monitoring logistics costs and timelines., • Prepare and verify bills of lading, packing lists, shipping invoices, and customs paperwork as applicable., • Track outbound shipments through delivery, confirming proof of delivery (PODs) and resolving exceptions promptly., • Manage and update a logistics tracking sheet for real-time visibility on all open shipments., • Support third-party logistics (3PL) or freight broker communication when necessary., • Liaise with clients for delivery appointments, scheduling adjustments, and shipment confirmations. 4. Data Management & Systems Operations • Maintain accurate order and production data within ERP / EDI systems, including Fishbowl ERP, SPS Commerce, or equivalent (NetSuite, SAP, Oracle, QuickBooks Enterprise, etc.). Input and reconcile manufacturing orders, shipments, and invoices to ensure alignment between operations and accounting. • Manage client portals (Amazon Vendor Central, Walmart Retail Link, Target Partners Online, etc.) for order uploads, status updates, and compliance., • Generate and maintain Excel-based reports summarizing: o Open orders and production status o Invoice aging and outstanding POs o Shipment performance and fulfillment rates • Create management dashboards and communicate trends or recurring issues., • Maintain digital and paper documentation archives for traceability and compliance. 5. Accounting & Invoice Support • Coordinate with Finance and Accounting to ensure invoices match production and shipment data., • Assist in reconciling POs and invoices against delivery and production records., • Follow up with clients to confirm payment receipt or resolve discrepancies., • Track and report account balances and open receivables to management for visibility. 6. Cross-Department Communication • Serve as the primary liaison between Sales, Production, Warehouse, Procurement, and Accounting., • Communicate changes in customer demand, schedule shifts, or supply issues to the relevant departments immediately., • Participate in daily and weekly operations meetings, reporting order status, backlog, and delivery performance., • Escalate critical production or logistics issues with clear, data-driven summaries for management decisions. 7. Process Improvement & Quality Oversight • Identify and document recurring process bottlenecks or data discrepancies; recommend workflow improvements. Collaborate with the management team to refine SOPs (Standard Operating Procedures) for order management, production coordination, and logistics. • Support quality control by ensuring all customer specifications are properly translated into production documentation., • Assist in building structured templates for order tracking, client reporting, and internal communication. Qualifications & Skills Education: • Bachelor’s degree in Business, Supply Chain, International Trade, or related field preferred but not mandatory. Experience: • 3–5 years experience in order management, production coordination, or client operations within manufacturing, logistics, or consumer goods., • Experience issuing and tracking manufacturing/production orders and coordinating production scheduling., • Experience working with trucking or freight companies to arrange shipping and deliveries., • Direct experience with ERP / EDI / vendor systems (Fishbowl, SPS Commerce, NetSuite, SAP, Oracle, or similar). Skills: • Strong proficiency in Microsoft Excel (formulas, pivot tables, VLOOKUP, reporting)., • Excellent verbal and written communication skills., • Capable of multitasking, prioritizing, and performing under pressure., • High degree of accuracy and attention to detail., • Professional work ethic, ownership mindset, and team collaboration., • Fluency in English required; Mandarin proficiency a strong plus.
