Responsibilities This position serves as a member of the Marketing and Communications team with a focus on building relations with companies and organizations within our marketing areas and connecting them with OneGroup via its Education Center as well as planning of events held externally and at the Education Center. The Events Coordinator will be responsible for managing all OneGroup hosted internal and external events. This includes events held at OneGroup’s Education Center, in addition to handling all ticketed events, sales meetings, special events, webinars, seminars, and promotional items. The Events Coordinator will manage all aspects of planning, tracking, and follow-up for these events. Specific duties and responsibilities include but are not limited to the following: • Manage external events which include conferences, trade shows, seminars, golf outings, meetings or any other company function. This includes travel, attending/working, set-up, clean up/breakdown, coordinating follow-up or any other function necessary from start to completion., • Track all external events activity; detailed information is required for both time and expenditures., • Manage internal events, which include department/company meetings, luncheons, educational seminars/webinars or any other company function. This includes set-up, clean up/breakdown, picking up supplies/food or any other function needed., • Manage all company giveaways, which will include seasonal items., • Manage company trade show program – in addition to the actual event oversee all follow-up type activity necessary such as collecting contact information, database entry, follow-up surveys, letters etc.,, • Support sales department which includes, coordinating regular sales meetings, market research, database entry, tracking sales and/or activity as needed., • Manage and execute OneGroup’s 101 Webinar series and other internal webinars on an as-needed basis. This includes coordinating with presenter and overseeing all activity necessary – including managing attendee list and post-event follow up., • Establish and maintain a centralized archive of various events that is detailed, up-to-date and available to internal groups., • Identify a comprehensive list of industry associations, non-profit organizations, local event committees and other groups with which to engage in meetings, committees and board positions for the purpose of educating them about OneGroup and inviting them to tour and/or utilize the OneGroup Education Center., • Identify companies to invite to tour and/or utilize the OneGroup facility., • Attend events held in our marketing areas to engage with their organizations as well as to learn event strategies from them. Maintain proficient knowledge of, and demonstrate ongoing compliance with all laws and regulations applicable to this position, ensure ongoing adherence to policies, procedures, and internal controls, and meet all training requirements in a timely manner. • Manage any other special programs as assigned. Qualifications Education: • Four-year degree in business/marketing or public relations is desired, • 2+ years’ experience in community relations with demonstrated current contacts in the community, • 2+ years’ event planning experience including multiple events simultaneously and demonstrate ability to create and manage large-scale events, • Excellent interpersonal skills, outgoing and the confident to make new connections at every level from office staff to CEO., • Excellent writing and communication skills., • Superior attention to detail including spelling, grammar, timelines and event details., • Proficiency with technologies including Zoom and Microsoft Office: Word, Excel, PowerPoint, etc., • Committed to providing excellent customer service both internally and externally., • Work independently and be resourceful in supporting department goals and objectives., • Excellent organizational and project management skills with superior ability to manage several projects simultaneously and meeting deadlines., • Ability to work effectively and efficiently with team members., • May require overnight travel for event functions, • Extended travel may be required to attend community events, committee meetings and other meetings as needed which is typically less than 30% of the job requirement, • Internal and external events may often require hours that extend past the typical business day
