Van Leeuwen Ice Cream is hiring a full-time Logistics & Inventory Coordinator to join our Supply Chain team. As we continue to scale our CPG business across retail channels nationwide, this role is critical to ensuring our products move efficiently, on time, and on budget from our production facility to distributors, retail partners, and DTC fulfillment centers. Beyond freight, this role owns CPG inventory management end to end, weeks of supply (WOS) tracking, on-time-in-full (OTIF) performance at retailers, and inventory transfers across our 3PL network and supports our scoop shop business through 3PL inventory management, intercompany freight coordination, and logistics cost management and controls. This is a high-impact, cross-functional role sitting at the intersection of operations, vendor management, and customer service. You'll work closely with our production, sales, and finance teams to coordinate domestic freight movements, manage carrier relationships, manage inventory health across our distributor and 3PL network, and help build the logistics infrastructure that supports Van Leeuwen's next stage of growth. This role will be based out of our Bronx office and follow Van Leeuwen's Hybrid work model and be in office at least two to three days a week. Job Responsibilities • CPG Inventory Management, • Own CPG finished goods inventory visibility and accuracy across the network — production facility, 3PL warehouses, distributors, and DTC fulfillment centers, • Manage weeks of supply (WOS) by SKU and location at distributors and retailers, monitoring sell-through and flagging out-of-stock and overstock risks before they impact service or margin, • Plan and execute inventory transfers between 3PL warehouses, distributors, and fulfillment centers to balance stock, meet demand, and minimize freight and storage costs, • Reconcile 3PL and WMS inventory records against the ERP, investigating discrepancies, shrink, and damaged or short-dated product and driving root-cause resolution, • Report inventory KPIs (WOS, fill rate, inventory accuracy, aging) on a weekly cadence with clear recommendations for rebalancing or replenishment, • Freight & Transportation Management, • Coordinate inbound and outbound freight movements across LTL, FTL, and refrigerated transport for CPG retail and distributor accounts, • Book and manage shipments with carriers and 3PL partners, ensuring on-time pickup and delivery, • Track shipments in real time and proactively communicate delays or disruptions to internal stakeholders and retail partners, • Manage freight claims from initiation to resolution, including documentation and carrier follow-up, • Ensure all shipments meet temperature and cold chain compliance standards required for frozen CPG products, • Distributor & Retail Compliance, • Coordinate order fulfillment for key retail accounts (grocery, natural, club, and specialty channels), ensuring compliance with retailer routing guides and vendor requirements, • Manage ASN creation and EDI coordination with retail partners and distributors, • Monitor and reduce chargebacks and deductions related to logistics non-compliance, • Manage OTIF (On-Time, In-Full) performance at retail partners — monitor retailer scorecards, perform root-cause analysis on misses, and implement corrective actions to minimize fines and protect vendor standing, • Maintain up-to-date knowledge of retailer-specific routing, labeling, and scheduling requirements, • Vendor & Carrier Relations, • Build and maintain strong relationships with carriers, brokers, and 3PL partners, • Solicit and evaluate freight quotes, supporting cost optimization across the supply chain, • Assist in identifying and onboarding new logistics partners as the network scales, • Scoop Shop Supply Chain Support, • Manage 3PL inventory and weeks of supply (WOS) for the scoop shop business, ensuring product availability for shops while minimizing excess, aged, and short-dated stock, • Coordinate intercompany freight between production facilities, 3PL warehouses, and scoop shop distribution points, ensuring on-time, temperature-compliant, and cost-effective deliveries, • Own cost management and controls for scoop shop logistics — track freight and storage spend against budget, audit carrier and 3PL invoices, flag variances, and identify savings opportunities, • Support intercompany inventory transfers and reconciliation between the CPG and scoop shop businesses, ensuring accurate intercompany records in the ERP, • Operations & Reporting, • Maintain accurate records of all shipments, freight costs, and carrier performance in TMS and ERP systems, • Generate regular freight spend and performance reports, identifying trends and cost-saving opportunities, • Collaborate with production and inventory planning teams to align shipment scheduling with production output and inventory availability, • Support month-end close by reconciling freight invoices and accruals Job Requirements • 2 to 4 years of experience in logistics, freight coordination, inventory management, or supply chain, preferably within CPG, food & beverage, or perishable goods, • Bachelor's degree in Supply Chain, Logistics, Business, or related field preferred, • Familiarity with LTL, FTL, and refrigerated freight operations, • Experience working with distributors and retail accounts (UNFI, KeHE, DPI, or similar a plus), • Working knowledge of routing guides, EDI, and ASN processes, • Proficiency in TMS, ERP, or WMS platforms; JOB DESCRIPTION Summary/ Objective East Side House (ESH) provides high-quality, year-round programming in NYCHA community centers and public schools, serving youth and families through education, workforce readiness, recreation, and community engagement. Reporting to the Senior and/or Department Director, the Program Director oversees the development, implementation, and supervision of Early Childhood Education & Elementary Division. This includes daily operations, staff management, compliance, and creating safe, inclusive, and responsive environments that promote positive outcomes. As a member of the Early Childhood Education & Elementary Division, the Program Director is expected to lead dynamic, age-appropriate programming for Elementary age participants and community members. This role includes direct supervision of the Assistant Program Director, Group Leaders, Activity Specialist, and other frontline staff. It requires regular collaboration with Human Resources, Finance, IT, and other East Side House departments.     The Role at a Glance The Sales & Experience Lead helps bring the magic of the FAO Schwarz flagship to life each day, leading a team of associates in creating joyful, memorable, and one-of-a-kind moments for every guest who walks through the doors. This role is all about energy, presence, and people — coaching the team in real time, celebrating great service, and making sure the wonder and excitement of the brand can be felt across the entire floor. In a store where no two days are ever the same, this role thrives in the unexpected, leads from the heart of the action, and helps turn everyday visits into unforgettable experiences. Creating the Magic Lead the Floor • Set and protect the guest experience standard across every touchpoint on the floor, ensuring every interaction is warm, energetic, theatrical, and consistently on-brand., • Be an active, visible presence on the floor, conducting regular observations and providing direct, specific feedback that raises the bar for guest engagement, product knowledge, and service., • Manage guest flow and partner with the MOD to revise zoning in real time, adjusting floor coverage to keep things moving smoothly throughout the day., • Lead floor-level execution of special events, brand activations, and experience refreshes, ensuring your area is prepared, the team is briefed, and every moment lands., • Escalate guest feedback and experience issues to store leadership constructively and promptly, always arriving with context and a proposed solution. Lead the Team • Bring self-awareness to your leadership by actively seeking feedback, investing in your own growth, and adapting your approach to get the best from a diverse team., • Coach and develop a team of associates, tailoring your approach to bring out the best in each person and build capability across the full range of floor responsibilities., • Get new team members up to speed quickly during onboarding, ensuring they feel confident and supported in their roles from day one., • Recognize strong performance and hold the team accountable when expectations are not met, escalating people concerns when needed., • Embed product knowledge and sales skills on the floor, reinforcing the connection between great storytelling, guest engagement, and commercial results through practical, everyday coaching. Run the Operation • Own the daily zone chart, deploying the team across the sales floor to ensure coverage is always clear, balanced, and responsive to business needs., • Lead opening and closing routines, ensuring the floor is operationally ready before guests arrive and is properly set each day., • Maintain the readiness standard across your area of responsibility, ensuring props, costumes, product availability, and equipment are always guest-ready and that gaps are resolved before they reach the guest., • Oversee daily cash-handling operations, ensuring the team consistently meets standards so every transaction is accurate, compliant, and trusted., • Step in to support the Manager on Duty as needed, taking ownership of the floor, supporting the team across all areas, and ensuring the guest experience never drops, regardless of who is leading the shift. Drive Business Performance • Build a team where confident, natural selling is the everyday standard, and every associate understands their role in driving store performance., • Coach the team to read the room across experiences, demonstrations, and the sales floor, using product knowledge and selling skills to convert guest curiosity into purchases at every opportunity., • Use performance data, floor observations, and product knowledge to develop a clear point of view on how your area is performing and where the opportunities lie., • Share commercial context with the team regularly to ensure they understand how their engagement connects to results and where to focus their energy. Partner Across the Store • Collaborate with Visual, Operations, and Store Leadership teams to keep your area on-brand, well-presented, and aligned with daily priorities., • Partner with fellow Leads so the store operates as one cohesive team, sharing knowledge, aligned on standards, and covering for each other where needed., • Be the eyes and ears on the floor, surfacing guest insights, team feedback, and operational trends to store leadership so the right decisions are made., • Keep the team informed and aligned on events, business goals, and expectations so nothing comes as a surprise and everyone shows up prepared. What you’ll bring You don't need to be perfect, but you do need to believe that no moment is too small to be extraordinary. • 2+ years of leadership experience in retail, hospitality, theatre, performance, or experiential environments., • Experience coaching and developing a team through feedback and daily floor leadership, with the ability to flex your approach across different skill sets and responsibilities., • Strong presence on the floor and confidence making real-time decisions in a busy guest environment., • The ability to balance theatrical guest engagement with operational discipline and commercial awareness., • A genuine interest in toys, play, and what the brand stands for., • Ability to stand for extended periods and lift up to 25 pounds., • Flexibility to work days, evenings, weekends, and peak retail periods. Experience in experiential, flagship, or performance-based environments is a strong plus. A love of play is non-negotiable.
